About the position

The Senior Executive Assistant plays a crucial role in supporting high-level executives within the Corporate Banking sector, specifically the Head of the Public Sector Group. This position is designed for individuals who are adept at managing complex administrative tasks and providing comprehensive support to senior management. The role involves handling correspondence, managing calendars, arranging meetings and conferences, and making travel arrangements. The Senior Executive Assistant is expected to maintain a high level of professionalism and confidentiality while ensuring that the executive's time is managed efficiently. In this role, the Senior Executive Assistant will directly support a C16 level manager and will generally assist an entire department. Responsibilities include managing day-to-day calendars, coordinating executive-level appointments, meetings, receptions, and conference calls. The assistant may also prepare and review materials and correspondence for meetings, assist in the creation and modification of presentations, spreadsheets, and other documents, and coordinate travel arrangements, including preparing and distributing schedules and agendas. Additionally, the Senior Executive Assistant will be responsible for preparing, reconciling, and tracking expense reports through the Travel and Entertainment Expense system, ordering supplies, processing invoices through the Procure to Pay system, and following up on Virtual Requests. The role may also involve assisting in ad-hoc reports and special projects as needed, as well as training and guiding other administrative staff when required. A critical aspect of this position is to assess risks when making business decisions, ensuring compliance with applicable laws and regulations, and maintaining the firm's reputation by applying sound ethical judgment in all business practices.

Responsibilities

  • Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system
  • Orders supplies and process invoices through Procure to Pay system
  • Process and follow-up on Virtual Requests
  • Assists in ad-hoc reports special projects as needed
  • Trains, coaches or guides other administrative staff when required
  • Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets.

Requirements

  • Previous office administration experience preferably within a large and complex financial services or similar organization
  • Highly proficient in Microsoft Office
  • Consistently demonstrates clear and concise written and verbal communication skills
  • Demonstrated ability to quickly gain command of new systems
  • Self-motivated and detail oriented
  • Bachelor's/University degree or equivalent experience
