About the position

The Senior Executive Assistant to the Vice President (VP) at Consumers Energy is responsible for providing comprehensive administrative support to the VP, ensuring efficient management of schedules, travel arrangements, and communications. This role requires independent judgment and a deep understanding of company policies and procedures, as well as the ability to prioritize tasks and manage multiple projects simultaneously.

Responsibilities

  • Manage the VP's calendar and schedule, including arranging on-site and off-site meetings.
  • Coordinate corporate travel arrangements, including flights, ground transportation, and accommodations.
  • Prepare materials for presentations and meetings, including agendas and reports.
  • Process and prepare financial documents such as invoices, budget estimates, and requisitions.
  • Support the VP in managing departmental budgets and expense reports.
  • Facilitate the annual HR process for the VP's direct reports, including performance evaluations and merit cycle allocations.
  • Serve as the primary resource for internal and external contacts, screening calls and inquiries.
  • Review and approve expense reports for the VP's direct staff and provide training on the expense report process.
  • Conduct research and prepare reports to assist in operational and administrative problem-solving.
  • Assist with onboarding and offboarding processes for employees.

Requirements

  • Bachelor's Degree in Business or related field, or a High School Diploma/GED with 4 years of relevant experience.
  • 4 - 7 years of prior professional administrative experience.
  • Proficiency in Microsoft Office Suite, especially advanced Excel skills.
  • Ability to handle confidential information with discretion.
  • Excellent verbal and written communication skills.

Nice-to-haves

  • Familiarity with graphic design software programs, such as Adobe Photoshop and InDesign.
  • Working knowledge of FERC, MPSC, and CMS Energy company guidelines.
