About the position

The Senior Executive Assistant to the Vice President (VP) at Consumers Energy is responsible for providing confidential administrative support to the VP, managing calendars, travel arrangements, and expense reports. This role requires independent judgment and extensive knowledge of company policies and procedures, ensuring effective communication and organization within the department.

Responsibilities

  • Manage individual and organization calendars and schedules for the VP.
  • Make travel arrangements and prepare expense reports.
  • Prioritize emails and phone calls for the VP.
  • Gather documentation for meetings and coordinate regular meetings.
  • Arrange on-site and off-site meetings, including logistics and materials.
  • Coordinate Teams Live Events and provide training for producers.
  • Run daily operation reporting meetings and leadership meetings in the VP's absence.
  • Register the VP for conferences and prepare necessary materials.
  • Assist with managing the budget and attend monthly budget meetings.
  • Process invoices, budget estimates, and other financial documents.
  • Review and approve expense reports of the VP's direct staff.
  • Prepare materials for presentations and meetings, including memos and reports.
  • Facilitate annual HR processes and performance evaluations for direct reports.
  • Order office supplies and technology items as needed.
  • Perform onboarding for new hires and offboarding for departing employees.
  • Create regular reports and update internal databases.
  • Review practices and procedures and recommend improvements.
  • Serve as the primary resource between internal and external contacts.

Requirements

  • Bachelor's Degree in Business or related field, or a High School Diploma/GED with 4 years of relevant experience.
  • 4 - 7 years of prior professional administrative experience.
  • Ability to organize and prioritize multiple assignments in a timely manner.
  • Discretion and ability to handle confidential information.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite, especially advanced Excel skills.
  • Familiarity with graphic design software programs, such as Adobe Photoshop and InDesign.
  • Proven ability to manage multiple projects simultaneously with attention to detail.

Nice-to-haves

  • Familiarity with HCMs, DocuSign, Service Now, Access Now.
  • Working knowledge of FERC, MPSC, and CMS Energy company guidelines.
