About the position

The Sr. Executive Assistant plays a vital role in providing comprehensive administrative support to the Chief Commercial Officer (CCO) at Healthequity, Inc. This position is responsible for managing the CCO's day-to-day operations, coordinating meetings, and handling communications, ensuring that the executive's schedule is organized and efficient. The role requires a high level of confidentiality and the ability to work autonomously while prioritizing tasks effectively.

Responsibilities

  • Coordinates the executives' work and personal calendars to minimize conflicts and support work-life balance.
  • Verifies meeting attendance and sends confirmations as necessary, prioritizing and delegating meeting invitations.
  • Maintains detailed reference materials for SLT member's boards and committees.
  • Anticipates needed information and assembles completed files for each meeting, preparing meeting folders with appropriate materials.
  • Attends meetings to assist in logistics and agenda management, which may include travel.
  • Schedules and coordinates staff meetings for the executive's direct reports, acting as a liaison between the executive and all direct reports.
  • Coordinates work and personal travel arrangements for the executive, including flight and hotel reservations.
  • Negotiates meeting fees/costs and contracts with vendors and internal departments.
  • Works independently to review, highlight, prioritize, and process the executive's mail, summarizing it for quick review.
  • Screens telephone calls and visitors, determining the best action when screening calls and responding to inquiries.
  • Prepares letters, memos, and reports, often of a highly confidential nature, and drafts responses for approval.
  • Researches and extracts information for executive meetings, presentations, and conferences.
  • Communicates regularly with the Board(s) of Directors and other senior management.

Requirements

  • Proven experience as an executive assistant or in other administrative roles.
  • Strong organizational skills and the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficiency in office software and tools, including Microsoft Office Suite.
