The role involves providing comprehensive administrative support to executives and senior leadership, anticipating their needs, and executing support functions with a high degree of accuracy and efficiency. This includes managing calendars, coordinating travel arrangements, and preparing expense reports. The position also requires the preparation and coordination of internal and external communications, including written correspondence and presentations, ensuring a high standard of design and layout. The successful candidate will be proactive in responding to daily inquiries and managing ongoing business needs, while also providing high-quality service to a wide range of internal and external stakeholders. Additionally, the role involves researching, prioritizing, and following up on incoming issues and concerns, determining the appropriate course of action, and coordinating high-visibility meetings that require meticulous planning and execution. The candidate will attend executive staff meetings, ensuring that the leader and team remain on track, and will handle sensitive and confidential material regularly. This position requires personal ownership in coordinating projects and influencing others to achieve expected results, while also supporting the company's commitment to risk management and the integrity of systems and data.

Responsibilities

  • Provides administrative support to executives and senior leadership, anticipating needs and executing support functions with high accuracy and efficiency.
  • Supports Management Committee or key Sub Committee engagement with the executive team, consulting and executing on efficient interactions and meeting outcomes.
  • Manages calendars, coordinates travel arrangements, and completes expense reports.
  • Prepares and coordinates internal and external communications, including written correspondence and presentations, with attention to design and layout.
  • Responds to daily inquiries and manages ongoing business needs with high-quality service.
  • Researches, prioritizes, and follows up on incoming issues and concerns, determining appropriate actions or referrals.
  • Coordinates high visibility meetings with internal and external constituents, requiring high planning and execution.
  • Attends Executive staff meetings, keeping the leader and team on track.
  • Handles sensitive and confidential material regularly.
  • Takes personal ownership to coordinate projects and interact with others to deliver expected results.

Requirements

  • Associate degree or equivalent from a two-year college or technical school.
  • Minimum of 7 years supporting executive business leaders at a corporate level or a combination of education and experience.
  • Demonstrated experience in written presentation design and layout.
  • Ability to work with highly confidential material.
  • Highly organized with strong attention to detail.
  • Excellent interpersonal, written, and verbal skills, with the ability to communicate effectively with all levels of employees and external customers.
  • Capable of handling and prioritizing requests from multiple sources in a timely manner.
  • Advanced proficiency in Microsoft Outlook, Word, and PowerPoint, with intermediate Excel skills.
  • Proficient with efficiency tools like Zoom and Microsoft Teams.
