About the position

The Sr. Executive Assistant plays a crucial role in ensuring the smooth functioning of activities and processes for one or more C-level Executives in a fast-paced environment. This position involves a variety of core administrative duties and organizational leadership support functions, requiring a high level of professionalism, discretion, and confidentiality.

Responsibilities

  • Create organized and professional written materials including correspondence, presentations, and reports.
  • Manage travel logistics including scheduling meetings, preparing background materials, and arranging flights, accommodations, and transportation.
  • Manage the Executive's calendar, prioritizing and rescheduling meetings as necessary.
  • Coordinate logistics for board and senior executive meetings, including agenda development and communication.
  • Process and respond to emails on behalf of the Executive, determining priority actions and drafting responses as needed.
  • Handle multiple demands and ad hoc issues efficiently, adjusting priorities as necessary.
  • Liaise with other departments to obtain necessary signatures or approvals from C-level executives.
  • Process and manage expenses related to travel and purchasing cards.
  • Attend and take minutes at staff meetings, including EVP, SVP, and Strategy Sessions.

Requirements

  • 5 to 8 years of relevant work experience.
  • Strong data entry skills and ability to perform basic mathematical calculations.
  • Attention to detail with accuracy and efficiency.
  • Clear communication skills to convey necessary information.
  • Ability to create and edit documents and presentations with attention to detail.
  • Effective interaction with all levels of management while maintaining confidentiality.
  • Strong negotiation skills and ability to promote ideas persuasively.
  • Positive, proactive, and flexible attitude with sensitivity to others' needs.
  • Strong leadership skills and willingness to create new ideas.
  • Excellent organizational and time management skills.
  • Ability to work under stress and meet deadlines.
