About the position

The Sr Fleet Operations Support Specialist plays a crucial role in the administrative and operational aspects of fleet maintenance at Cox Automotive. This position focuses on coordinating vehicle assignments, documentation, scheduling, and compliance, ensuring exceptional customer service and collaboration with team members and vendors. As the company expands, this role is vital in maintaining efficiency and meeting key performance indicators (KPIs) while supporting the growth of one of the largest fleet maintenance companies in the country.

Responsibilities

  • Perform various clerical and administrative duties relating to the Fleet Management program fulfillment.
  • Maintain vehicle files, records, billing files, invoice payments, and relationships with outside vendors and service providers.
  • Maintain detailed, accurate, and up-to-date information for assigned vehicles via Fleet Management systems, ensuring compliance with regulations.
  • Analyze, manage, and report customer vehicle information and shop throughput via daily reports and queries.
  • Work with internal and external customers to resolve escalated service issues and support during catastrophic events.
  • Collaborate with the manager to utilize team resources for efficiency and quality work against KPIs.
  • Establish and maintain relationships with customers to meet their expectations of department deliverables.
  • Respond to customer inquiries regarding assigned vehicles and assist in resolving problems.
  • Utilize fleet asset maintenance systems to monitor and track vehicle repairs.
  • Communicate and schedule repairs/enhancements with Fleet Services management and location Technicians.
  • Monitor vehicles through the Fleet Services fulfillment process to ensure timeline commitments are met.
  • Review completed work to ensure customer quality standards are achieved and/or exceeded.

Requirements

  • High School Diploma/GED and 3 years' experience in a related field, or any level degree/certification beyond a HS diploma/GED with up to 1 year of experience, or 5 years' experience in a related field.
  • Strong proficiency with computers, Microsoft Office programs, and internet-based applications.
  • Self-motivated with the ability to manage expectations, prioritize work, and work under pressure in a fast-paced environment.
  • Ability to perform data analysis and make recommendations on changes to policies, procedures, processes, or methods as needed.
  • Ability to maintain accurate records and asset inventories, and to create/analyze reports.
  • Strong people skills and effective communication with peers, business partners, and leadership.
  • Ability to interact with internal and external business partners supporting corporate policy, standards, processes, and procedures.
  • Proficient in understanding, analysis, and management of vehicle information to provide recommendations.
  • Works well in a team environment by supporting departmental initiatives and goals.
  • Excellent customer service, organizational, and communication skills (written and verbal).
  • Ability to sit or stand for prolonged periods and perform repetitive data entry tasks.

Nice-to-haves

  • Associate degree or 5 years fleet experience preferred.
  • Knowledge of federal, local, and state laws within the region to support compliance of all vehicle-related records.
