About the position

The Sr. Manager, Event Production at the National Multiple Sclerosis Society is a pivotal role responsible for overseeing all aspects of event production for a designated portfolio of events. This position requires a dynamic leader who can effectively manage a team of Event Production professionals across a broad geographic area, ensuring that all events are executed successfully to meet the Society's goals. The role involves close collaboration with relationship management and volunteer engagement partners to create exceptional event experiences that also support revenue growth. The individual will handle a diverse range of events, which may include multi-market and high-level gatherings, necessitating advanced proficiency and a year-round commitment to event planning and execution. In this role, the Sr. Manager will act as a project manager, regularly collaborating with the relationship management team and volunteer engagement staff to ensure that all event experiences meet the expectations of participants and sponsors. This includes monitoring and updating event production timelines, securing venues, permits, and insurance, and maintaining positive relationships with vendors and communities hosting the events. The manager will also oversee the logistics of event materials, including inventory management and distribution of supplies, while ensuring compliance with risk management guidelines. Budget management is another critical aspect of this position, where the Sr. Manager will negotiate and manage event contracts, track expenses, and adhere to approved budgets. The role also involves leading and coaching a team of Event Production professionals, providing mentorship and performance reviews to foster their growth and development. Additionally, the manager will cultivate relationships with volunteers, ensuring they are well-prepared for their roles during events and facilitating committee meetings to address logistical details. Overall, this position is integral to the Society's mission, requiring a commitment to excellence in event production and a passion for supporting individuals affected by multiple sclerosis.

Responsibilities

  • Collaborate with relationship management team and volunteer engagement staff to ensure exceptional event experiences for participants and sponsors.
  • Monitor, adhere to, and update event production timelines for all events; communicate progress to supervisor and identify potential roadblocks.
  • Reserve and secure venues, permits, and insurance for assigned events, maintaining positive relationships with communities and vendors.
  • Maintain storage units for event supplies and track current inventory of event materials.
  • Purchase, pack, and distribute specified event supplies before, during, and after each campaign.
  • Manage local and National Sponsorship fulfillment information and deliveries.
  • Schedule and facilitate event production meetings with appropriate staff.
  • Create and communicate event staff assignments in conjunction with development team partners.
  • Manage relationships with third-party logistics companies for overall event logistics.
  • Follow all risk management guidelines related to event execution.
  • Partner with event and market leaders to ensure rider safety and manage crisis communication.
  • Serve as an active member of the Emergency Response team and act as vendor contact for changes or cancellations.
  • Assess, plan, secure, and oversee event routes, developing contingencies as needed.
  • Work closely with the Society's legal/risk management department to ensure adherence to contract policies.
  • Ensure timely submission of logistical event information for TeamRaisers.

Requirements

  • Bachelor of Arts or Science preferably in Business, Hospitality, or related field; experience may substitute for degree.
  • At least 5 years of related experience, with some previous leadership/supervisory experience preferred.
  • Non-profit experience is preferred.
  • Demonstrated planning and implementation experience to drive measurable results and ensure a positive event experience.
  • Experience managing projects/events from conceptualization through implementation.
  • Strong initiative with the ability to monitor multiple projects with competing priorities.
  • Ability to manage and motivate staff and volunteers from a distance while building trust.
  • Excellent written and oral communication skills with strong interpersonal skills.
  • Results-driven with strong attention to detail.

Nice-to-haves

  • Experience with logistical mapping and event diagram software such as Ride with GPS or Smartdraw.
  • Availability to work occasional nights and weekends to support events.
