About the position

The Sr. Patient Services Representative at OU HSC plays a crucial role in coordinating patient schedules and providing clerical support in an outpatient clinic setting. This position is essential for ensuring the smooth operation of the facility, managing patient information, and facilitating communication between patients and healthcare providers.

Responsibilities

  • Answer telephones and document patient information.
  • Obtain and update patient demographics.
  • Collect and verify proof of income for sliding scale discounts.
  • Prepare and enter healthcare providers' schedules into the computer.
  • Prepare ancillary forms for other services, including x-rays and vascular studies.
  • Print and fax physician schedules to offices.
  • Pull patient charts for appointments and file lab, x-ray, and hospital information.
  • Copy medical records for patients and other providers or facilities.
  • Request medical records from other facilities.
  • Triages prospective patients.
  • Discuss financial accounts with patients.
  • Verify insurance eligibility and primary care physicians for patients.
  • Secure referrals to/from other providers for HMO patients.
  • Receive and manage all incoming referrals.
  • Understand urgencies based on dental needs and medical conditions.
  • Communicate professionally with referring dental providers, medical providers, and school-based health programs.
  • Manage records received from referral sources.
  • Support patient/family needs.
  • Communicate with residents and faculty regarding referred patients.
  • Report back to referral sources when patient care is scheduled, initiated, and completed.
  • Outreach to build referrals.
  • Coordinate hospital operating room and clinic schedules for patients requiring multiple services.
  • Provide patient/parent pre-operative instruction and support.
  • Manage medical and dental pre-authorization as indicated by insurances.
  • Coordinate medical consultations and combo case management.
  • Communicate with residents and faculty regarding surgery patients and schedules.
  • Determine need for pre-admission and communicate with pre-admit and pre-op services.
  • Arrange for transports, admits, and medical supports for inpatient surgery cases.
  • Provide patient/family support including reminders about appointments and instruction reviews.
  • Communicate with and schedule anesthesia providers.
  • Provide weekly patient schedules, medical histories, and demographics to anesthesia providers.
  • Order and manage anesthesia equipment and medications.
  • Organize hospital and dental board inspections or licensing.
  • Coordinate with dental assistants for dental supplies needed.

Requirements

  • High School Diploma or GED.
  • 18 months of experience with a minimum of 6 months in a clinical environment and 12 months in a customer-service role.

Nice-to-haves

  • Prior dental office experience.
  • Previous patient/operating room scheduling and patient referral experience.
