About the position

KIND LLC is seeking a dedicated and experienced Sr. Payroll Specialist to join our Human Resources team in New York. This role is critical in overseeing all aspects of the outsourced payroll function, ensuring accurate and timely processing while maintaining compliance with applicable laws and regulations. The ideal candidate will possess strong organizational skills, attention to detail, and a deep understanding of payroll systems. As a Payroll Specialist, you will collaborate with various departments and work closely with the Finance teams across our businesses to ensure the accurate and timely processing of payroll. You will be responsible for monitoring payroll tax and withholding compliance, staying updated on tax legislation, and ensuring accurate reporting. This position offers the flexibility to work remotely from anywhere within the USA. In this role, you will manage and supervise the outsourced payroll team, providing guidance and support to ensure the successful delivery of payroll services. You will oversee payroll oversight, ensuring accurate processing of payroll for employees, and monitor the accuracy of payroll data to comply with relevant laws and regulations. Additionally, you will manage relationships with payroll service providers and software vendors, implement best practices for payroll processing, and develop and maintain payroll policies and procedures. You will also coordinate internal and external audits related to payroll, maintain accurate payroll records, and respond to employee inquiries regarding payroll-related matters. This position plays an integral role in acquisition activity and requires a solid understanding of payroll processes and tax withholding regulations.

Responsibilities

  • Manage and supervise the outsourced payroll team, providing guidance and support to ensure the successful delivery of payroll services.
  • Ensure accurate and timely processing of payroll for employees, including reviewing and approving payroll calculations and adjustments.
  • Monitor and verify the accuracy of payroll data, ensuring compliance with relevant laws and regulations.
  • Oversee and manage all aspects of the payroll function, ensuring accurate and timely processing of employee compensation, deductions, and compliance with federal, state, and local payroll tax regulations.
  • Manage relationships with payroll service providers, software vendors, and other related partners.
  • Research and implement best practices for outsourced payroll processing, identifying opportunities for process improvement and automation to optimize efficiency and accuracy.
  • Develop and maintain payroll policies and procedures, ensuring adherence to company standards and regulatory requirements.
  • Coordinate internal and external audits related to payroll, ensuring compliance and accuracy.
  • Maintain accurate payroll records and prepare necessary reports for outsource vendor, management and auditors.
  • Help to resolve payroll discrepancies and respond to employee inquiries regarding payroll-related matters.
  • Collaborate with the Finance teams to reconcile payroll accounts and prepare necessary journal entries.
  • Handle all payroll related mail on a timely basis.
  • Work closely with local HR teams to reconcile any issues with employees.
  • Stay up to date on changes to payroll tax regulations and ensure timely implementation of any required updates.
  • Handle all tasks related to the smooth processing and auditing of 401k benefits.
  • Play an integral role in acquisition activity.

Requirements

  • Bachelor's degree in Accounting, Finance, or a related field.
  • Minimum of 5 years of experience in both US and Canada payroll processing and payroll tax compliance.
  • Proven experience in managing outsourced payroll operations, preferably in a large organization.
  • Strong knowledge of payroll laws, regulations, and best practices.
  • Strong knowledge and demonstrated experience using payroll systems and software, timekeeping systems and software, with a strong preference for experience with ADP Workforce Now.
  • Excellent organizational and time management skills, with the ability to prioritize and meet deadlines in a fast-paced environment.
  • Proficient in MS Office, particularly Excel and other relevant software applications; prior experience with v-lookups strongly preferred.
  • Excellent analytical and problem-solving skills.
  • Strong attention to detail and accuracy.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with various stakeholders.
  • Ability to work independently and collaboratively as part of a team.

Nice-to-haves

  • Certification in payroll administration (e.g., Certified Payroll Professional) is preferred, but not required.
  • Experience leading a team is preferred.
  • Familiarity with payroll withholding and unemployment is a plus.
