About the position

The Sr. Payroll Specialist at Nice-Pak is a critical role responsible for overseeing the administration of payroll for all associates. This position requires technical and administrative expertise in payroll processes, ensuring timely and accurate payroll submissions while maintaining compliance with federal, state, and local regulations. The specialist will interact with various levels of associates and manage relationships with external vendors, contributing to the overall operational excellence of the payroll function.

Responsibilities

  • Process and submit payrolls by the deadline.
  • Research payroll issues and follow up with the HRBP or associate when applicable.
  • Manage payroll portions of the current payroll system.
  • Work with local HR to ensure the Timekeeping System is maintained and updated in a timely manner.
  • Answer court interrogatories and process garnishments.
  • Upload 401(k) Contribution files to 401(k) vendor.
  • Continuously evaluate, improve, and maintain existing processes to ensure the most effective use of resources and drive operational excellence.
  • Complete quarterly payroll tax reconciliations and year-end payroll processes including year-end adjustments, W-2s, etc.
  • Coordinate the completion of payroll regulatory reporting requirements, including payroll taxes, garnishments, and other payroll-related reporting requirements.
  • Reconcile payroll prior to transmission and validate confirmed reports.
  • Support auditor requests and information requirements.
  • Assist/prepare back-up for accounting-related accruals/reports (e.g., vacation pay accruals).

Requirements

  • Proficiency in HRIS software and payroll systems, preferably UKG Pro (Ultipro).
  • Knowledge of federal, state, and local payroll regulations and compliance requirements.
  • Certification as a Payroll Professional (CPP) is preferred.
  • A bachelor's degree or equivalent work experience.
  • Five plus years of experience with payroll in multi-location and multiple-shift operations.
  • Proficiency in MS Office (Word, Outlook, Excel, PowerPoint) with strong Excel skills.
  • Excellent written and verbal communication skills.
  • Strong understanding of federal, state, and local payroll laws, regulations, and compliance requirements.
  • Excellent understanding of multi-location payroll and taxes.
  • Minimum 5 years' experience in processing payroll using an automated Payroll system is required.
  • Experience in UltiPro and UltiPro Time Management system is a plus.
  • The ability to function in a deadline-sensitive environment is critical.
  • Detail-oriented, organized, and able to multi-task.
  • Manage workload while meeting multiple simultaneous deadlines.
  • Must have the ability to deal with sensitive and confidential information.

Nice-to-haves

  • Certification as a Payroll Professional (CPP) is preferred.
  • Experience in UltiPro and UltiPro Time Management system is a plus.
