About the position

The Sr. Project Coordinator at the University of Miami's Department of Medicine, Division of Clinical Operations, is responsible for coordinating project activities to ensure timely completion. This full-time role involves providing administrative and logistical support, including meeting arrangements, progress tracking, and documentation preparation. The coordinator will also develop comprehensive action plans detailing resources, timeframes, and budgets for various projects.

Responsibilities

  • Coordinate project activities to ensure projects are on schedule.
  • Provide administrative and logistical support including meeting arrangements and documentation.
  • Prepare comprehensive action plans detailing resources, timeframes, and budgets.
  • Assist with the assignment of tasks to internal teams and manage schedules.
  • Track all project-related expenditures and assist with budget preparation.
  • Monitor project progress and address any issues that arise.
  • Act as the point of contact and communicate project status to stakeholders.
  • Create and maintain comprehensive project documentation, plans, and reports.
  • Ensure adherence to standards and requirements by reviewing project objectives against deliverables.
  • Organize, attend, and participate in project meetings, preparing necessary materials and recording minutes.
  • Evaluate current procedures and recommend changes to improve project planning and scheduling efficiency.

Requirements

  • High school diploma or equivalent.
  • Minimum 3 years of relevant experience.
  • Ability to communicate effectively in both oral and written form.
  • Ability to maintain effective interpersonal relationships.
  • Ability to work independently and collaboratively.
  • Ability to accurately prepare and maintain records, files, reports, and correspondence.
  • Ability to understand and follow instructions.
  • Skill in completing assignments accurately and with attention to detail.
  • Ability to manage a budget and work within its constraints.
  • Ability to process and handle confidential information with discretion.
  • Proficiency in computer software (i.e. Microsoft Office).
