About the position

The Sr. Project Coordinator at the University of Miami's Department of Medicine, Division of Clinical Operations, is responsible for coordinating project activities to ensure timely completion. This full-time role involves providing administrative and logistical support, including meeting arrangements, progress tracking, and documentation. The coordinator prepares comprehensive action plans detailing resources, timeframes, and budgets for various projects.

Responsibilities

  • Coordinate project activities to ensure projects are on schedule.
  • Provide administrative and logistical support including meeting arrangements and documentation.
  • Prepare comprehensive action plans detailing available resources, timeframes, and budgets for projects.
  • Assist with the assignment of tasks to internal teams and manage schedules.
  • Assist with budget preparation and track all project-related expenditures.
  • Monitor project progress and address any issues that arise.
  • Act as the point of contact and communicate project status to relevant stakeholders.
  • Communicate timeline changes and new information to the project team.
  • Create and maintain comprehensive project documentation, plans, and reports.
  • Ensure all needed documentation is current and properly filed and stored.
  • Review project objectives against deliverables to ensure adherence to standards and requirements.
  • Organize, attend, and participate in project meetings.
  • Prepare necessary presentation materials for project meetings.
  • Record minutes and take detailed notes during meetings.
  • Evaluate current procedures and recommend changes to improve efficiency in planning and scheduling of projects.
  • Adhere to University and unit-level policies and procedures.

Requirements

  • High school diploma or equivalent.
  • Minimum 3 years of relevant experience.
  • Ability to communicate effectively in both oral and written form.
  • Ability to maintain effective interpersonal relationships.
  • Ability to work independently and/or in a collaborative environment.
  • Ability to accurately prepare and maintain records, files, reports, and correspondence.
  • Ability to understand and follow instructions.
  • Skill in completing assignments accurately and with attention to detail.
  • Ability to manage a budget and work within the constraints of that budget.
  • Ability to process and handle confidential information with discretion.
  • Proficiency in computer software (i.e. Microsoft Office).
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.
