About the position

The University of Miami is seeking a Senior Project Coordinator to manage and coordinate project activities at the Soffer Clinical Research Center. This role involves providing administrative and logistical support, ensuring projects are on schedule, and preparing comprehensive action plans that detail resources, timeframes, and budgets. The incumbent will act as a liaison between various stakeholders and oversee the day-to-day management of research studies, ensuring compliance with human subject protection procedures and effective communication throughout the project lifecycle.

Responsibilities

  • Coordinates project activities to ensure projects are on schedule.
  • Provides administrative and logistical support including meeting arrangements, progress tracking, and documentation.
  • Prepares comprehensive action plans detailing available resources, timeframes, and budgets for projects.
  • Assists with the assignment of tasks to internal teams and manages schedules.
  • Assists with budget preparation and tracks all project-related expenditures.
  • Monitors project progress and addresses any issues that arise, identifying completion shortfalls.
  • Acts as the point of contact and communicates project status to relevant stakeholders.
  • Creates and maintains comprehensive project documentation, plans, and reports.
  • Ensures adherence to standards and requirements by reviewing project objectives against deliverables.
  • Organizes, attends, and participates in project meetings, preparing necessary presentation materials.
  • Records minutes and takes detailed notes during meetings.
  • Evaluates current procedures and recommends changes to improve efficiency in planning and scheduling of projects.
  • Oversees day-to-day management of studies, including supervision of personnel and control of participant incentives.
  • Monitors relationships with corporations, community members, and study personnel.
  • Collects and analyzes qualitative information through focus groups and interviews.
  • Ensures all Human Subject Protection procedures are in place, including consent and confidentiality.
  • Actively recruits potential participants and administers audio-assisted questionnaires for data collection.
  • Travels to off-campus sites for assessment-related activities and maintains accurate data on record-keeping forms.

Requirements

  • High school diploma or equivalent.
  • Minimum 3 years of relevant experience in project coordination or research settings.
  • Ability to communicate effectively in both oral and written form.
  • Ability to maintain effective interpersonal relationships and work independently or collaboratively.
  • Skill in preparing and maintaining records, files, reports, and correspondence accurately.
  • Ability to manage a budget and work within its constraints.
  • Proficiency in computer software, particularly Microsoft Office.

Nice-to-haves

  • Experience working with pharmacy chain companies.
  • Experience working with underserved Latino communities.
  • Bilingual in English and Spanish.
  • At least two years of experience working in a research setting with Latinos.
  • Interviewing skills and strong interpersonal verbal skills.
