About the position

The Staff Assistant for Workers' Compensation at American Airlines plays a vital role in providing administrative support to the Workers' Compensation team within the People department. This position is essential for ensuring the efficient handling and resolution of workers' compensation claims, directly contributing to employee wellbeing and operational efficiency.

Responsibilities

  • Maintain relationships with internal programs and external insurance carriers.
  • Manage time and attendance, process expense reports, invoices, and order supplies.
  • Monitor shared inboxes, process workers' compensation subpoenas, and respond to defense attorney discovery requests.
  • Communicate with legal, payroll, and retirement contacts for employment verification ahead of claim settlements.
  • Submit consideration payment requests and send settlement/separation correspondence to relevant contacts.
  • Review incoming medical bills and forward to Third Party Administrator (TPA); assist TPA with wage statement inquiries.
  • Schedule meetings, coordinate food orders, assist with department/vendor event planning, and support team-building events.
  • Assist injured team members via the Staff Injury Hotline and handle injury reporting materials.
  • Edit Injury Reporting System notification email distribution lists and collaborate on technical issues.
  • Assist with flight reservations and deposit departmental checks into credit union accounts.

Requirements

  • High school diploma or equivalent.
  • Strong background in administrative roles, especially within legal, workers' compensation, or insurance sectors.
  • Exceptional organizational skills and attention to detail.
  • Familiarity with legal documents and processes, especially in handling subpoenas and settlement agreements.

Nice-to-haves

  • Experience in workers' compensation or a related field is preferred.
  • Ability to handle sensitive/confidential information.
  • Ability to handle multiple priorities effectively.
  • Experience with Workbrain timekeeping systems.
