Responsibilities

  • Provides secretarial/clerical support for the Code Compliance Department.
  • Processes a variety of documentation associated with department operations within designated timeframes.
  • Screens telephone calls, mail, email, and other communications, initiating appropriate action/response.
  • Types, transcribes, edits, or proofreads correspondence and maintains department calendars.
  • Coordinates travel arrangements and conference registrations for department staff.
  • Operates telephone and greets visitors, directing them to appropriate personnel.
  • Provides information and assistance regarding department services and activities.
  • Receives payments for various fees/services and records transactions accurately.
  • Types, prepares, and completes various forms, reports, and correspondence.
  • Maintains computerized and hard-copy file systems for the department.
  • Performs data entry functions and verifies accuracy of entered data.
  • Operates various office equipment and performs basic maintenance as needed.
  • Processes incoming and outgoing mail and manages bulk mailing projects.
  • Conducts research of department files and maintains current manuals and reference materials.
  • Monitors inventory of department supplies and initiates requests for new supplies.
  • Communicates with various stakeholders to coordinate work activities and resolve problems.
  • Enters payroll and processes employee paperwork, including new hire orientation.
  • Provides assistance to other departmental administrative employees as required.

Requirements

  • High School Diploma or equivalent.
  • One year of related experience in secretarial work, office administration, or customer service.

Nice-to-haves

  • Experience with basic bookkeeping and records management.
  • Familiarity with personal computer operations and office software.
