About the position

Under the supervision of the Nurse Manager and/or the Administrative Supervisor, this position plays a crucial role in assisting with the planning, organizing, implementing, and evaluating the staffing needs within the Department of Nursing. The individual in this role is expected to promote positive relationships with all staff and departmental leaders, ensuring effective communication and collaboration across the nursing units. The responsibilities include preparing and maintaining accurate schedules and attendance records, consistently communicating staffing changes to the unit through various channels such as telephone, text message, and computer. The goal is to provide optimal staffing as per the staffing plan for each assigned nursing unit, escalating issues appropriately when goals cannot be met due to resource limitations. The position requires adherence to safe scheduling practices and maintaining accurate records of unplanned absences, Patient Attendant requests, and Charge Nurse requests for increased staffing due to high acuity or low census. The individual must demonstrate the ability to use appropriate scheduling codes for documentation and apply pay codes accurately. Familiarity with the API Centricity staffing and scheduling module, as well as time and attendance modules, is essential while assisting Managers, Team Leaders, or Charge Nurses as needed. The role also involves making fair and consistent staffing adjustments based on call-ins, acuity changes, census, caregiver hours, and recommendations from management. Effective communication is key, as the individual will need to route information and telephone calls to the appropriate personnel and respond to requests within defined policy periods. The position requires the preparation of daily staffing huddle forms and accurate communication of staffing needs to the Administrative Supervisor. The individual will also review assigned departments, maintain attendance records, and generate unit reports at predefined intervals. Completing assigned tasks in a timely manner, adjusting personal schedules to meet departmental needs, and attending mandatory in-service programs and required training are also part of the job. The role demands adherence to DCH Standards, maintaining performance, patient and employee satisfaction, and compliance with all policies and procedures.

Responsibilities

  • Prepares and maintains accurate schedules and attendance records.
  • Consistently communicates staffing changes to the unit by telephone, text message, and/or computer.
  • Strives to provide optimal staffing as per staffing plan for each assigned nursing unit and escalates appropriately when goals cannot be met due to resource limitations.
  • Adheres to safe scheduling practices.
  • Maintains accurate records such as unplanned absences, Patient Attendant requests, and Charge Nurse requests for increased staffing due to high acuity or low census.
  • Maintains and updates employee database information and telephone numbers.
  • Demonstrates the ability to use appropriate scheduling codes for documentation.
  • Applies pay codes accurately for various leave types.
  • Uses API Centricity staffing and scheduling module and time and attendance module while assisting Managers/TLs or Charge nurses as appropriate.
  • Demonstrates a working knowledge of each unit's Master Staffing Plan and flexible caregiver hours.
  • Makes fair and consistent staffing adjustments based on call-ins, acuity changes, census, caregiver hours, and recommendations from management.
  • Routes information and telephone calls to the appropriate person.
  • Effectively communicates in a clear, concise manner to the Manager/Team Leader, Charge Nurse, and/or Nursing Supervisor.
  • Responds to CTO requests within the defined period of the policy.
  • Understands the short notice time off process and adheres to staffing guidelines.
  • Prepares daily staffing huddle forms.
  • Communicates staffing needs accurately to the Administrative Supervisor.
  • Reviews assigned departments and applies attendance policies as per guidelines.
  • Maintains attendance records and generates unit reports at predefined intervals.
  • Completes assigned tasks in a timely manner.
  • Adjusts personal schedule to meet the needs of the department.
  • Attends in-service programs and all required training/education and unit/department/service meetings.

Requirements

  • High school diploma or GED required.
  • Typing skills (30 wpm).
  • Strong interpersonal skills; must be able to work in stressful situations.
  • Practices professional telephone courtesy at all times.
  • Must have computer skills.
  • Must be able to read, write legibly, speak, and comprehend English.
