About the position

The Executive Assistant position at Abbott is a vital role within the CHR Corporate Human Resources division, providing high-level administrative support to executives and leadership teams. This position is part of the STAR program, which offers specialized temporary administrative resources to assist during absences, workload surges, and special projects. The role requires a customer-focused attitude, strong organizational skills, and the ability to handle confidential information with discretion.

Responsibilities

• Answering phones and managing calendars (Outlook)
• Scheduling travel and preparing expense reports (Concur)
• Planning meetings and events
• Creating or modifying business documents, spreadsheets, and presentations (Microsoft Office)
• Processing invoices (SAP Ariba and SharePoint)
• Receiving and directing visitors
• Filing in compliance with corporate and government regulations
• Managing correspondence and scheduling various types of meetings (Teams, WebEx, Zoom)
• Coordinating domestic and international travel arrangements, including visas and passports
• Ordering business cards, stationery, and office supplies
• Assisting with projects, including basic project management and research
• Coordinating new employee office setups and onboarding
• Training and coordinating work for new administrative assistants

Requirements

• High school diploma or equivalent
• 7+ years of experience or equivalent
• Advanced knowledge of the Microsoft Office Suite
• Experience with international and domestic travel and expense reporting
• Strong attention to detail
• Ability to work independently

Nice-to-haves

• Experience with Visio or OrgPlus
• Basic project management skills
• Familiarity with Workday (employee performance management systems)
