About the position

The STAR Executive Assistant position at Abbott Laboratories is designed for individuals who excel in providing high-level administrative support to executives and leadership teams. This role is part of the STAR program, which offers specialized temporary administrative resources to assist during absences, vacancies, and peak workloads. The position requires a customer-focused attitude and the ability to manage multiple tasks efficiently while maintaining confidentiality and professionalism.

Responsibilities

  • Answering phones and managing calendars (Outlook)
  • Scheduling travel and preparing expense reports (Concur)
  • Planning meetings and events
  • Creating or modifying business documents, spreadsheets, and presentations (Microsoft Office)
  • Processing invoices (SAP Ariba and SharePoint)
  • Receiving and directing visitors
  • Filing in compliance with corporate and government regulations
  • Managing correspondence and scheduling couriers
  • Coordinating teleconference, videoconference, and telepresence meetings (Teams, WebEx, Zoom)
  • Setting up mobile phones and acting as a liaison for remote access issues
  • Coordinating domestic and international travel arrangements, including visas and inoculations
  • Ordering business cards, stationery, and office supplies
  • Assisting with projects, including basic project management and research
  • Coordinating new employee office setups and onboarding
  • Training and coordinating work for new administrative assistants

Requirements

  • High school diploma or equivalent
  • 7+ years of experience or equivalent
  • Advanced knowledge of the Microsoft Office Suite
  • Experience with international and domestic travel and expense reporting
  • Strong attention to detail
  • Ability to work independently

Nice-to-haves

  • Experience with Workday (employee performance management systems)
  • Knowledge of Visio or OrgPlus
  • Experience in event coordination
