About the position

The State-Wide Vehicle Acquisition Executive position is a key role within the Department of Central Management Services, focusing on the organization, planning, and execution of statewide vehicle acquisition programs. The ideal candidate will work collaboratively with a team of administrators to manage vehicle procurement processes, provide training to state agency vehicle coordinators, and ensure compliance with relevant policies and procedures. This role requires strong problem-solving skills and the ability to handle complex issues independently while supporting the Division of Vehicles in serving the State of Illinois.

Responsibilities

  • Function within a team of administrators for the organization, planning, and execution of statewide Vehicle Acquisition Programs.
  • Provide training on efficient fleet management principles to state agency vehicle coordinators/vehicle buyers.
  • Advise on policy and procedures, interpreting applicable state statutes and administrative rules for vehicle purchase requests.
  • Plan and execute responsibilities related to the CMS Surplus Property iBid program for vehicle disposal.
  • Coordinate Auto Liability for drivers in the CMS fleet and Vehicle Acquisition Program involved in auto accidents.
  • Create and interpret Excel, Access, PowerPoint, Visio, and Calendar work products used in daily division operations.

Requirements

  • Completion of four years of college, preferably with coursework in business or public administration.
  • Two years of responsible administrative experience in a public or business organization.

Nice-to-haves

  • Two years of professional experience working with an Enterprise Asset Management (EAM) fleet system, BidBuy, Systems Application Products (SAP), or comparable fleet management and procurement systems.
  • Two years of professional experience managing vehicle data and billing information.
  • Two years of professional experience meeting deadlines with strong attention to detail, utilizing critical thinking skills, while prioritizing assignments and managing multiple projects.
  • Working knowledge of Vehicles Services programs and associated procurement standards and procedures.
  • Professional experience with accounting, budgeting, statistics, and creating and interpreting spreadsheets and reports.
