About the position

The STEM Ed Operations Coordinator at the Science Museum of Minnesota plays a crucial role in supporting the museum's educational programming, which includes school outreach, summer camps, and field trips. This position is designed for individuals who are passionate about education and customer service, as it involves both responding to incoming requests and proactively reaching out to potential customers. The Coordinator will be responsible for providing excellent customer service while managing various administrative tasks that support the museum's educational initiatives. This includes database management, processing expenses, invoicing, event coordination, program scheduling, and generating reports. In this role, the Coordinator will communicate effectively with customers and colleagues, ensuring that all inquiries are handled in a timely and clear manner. They will build relationships with both internal staff and external customers, navigating program options and sharing vital information. The position requires a high level of organization, independence, and critical thinking, as the Coordinator will prioritize tasks across multiple programs and adapt their approach to meet deadlines and departmental needs. Additionally, the Coordinator will serve as an active super-user for the museum's scheduling and ticketing database systems, performing database entry and management, and providing training to other staff members. They will also contribute to the marketing of educational programs by maintaining web content and collaborating with program staff to reach potential audiences. The Coordinator will support other customer-facing staff in building their knowledge of education programs and will conduct various administrative tasks as assigned, including event setup and delivery of educational materials.

Responsibilities

  • Field incoming and escalated calls and emails regarding educational programming requests.
  • Proactively reach out to potential customers to promote educational programs.
  • Communicate clearly and timely to initiate and respond to customer contact, collect information, schedule resources, and coordinate payments.
  • Respond to escalated service requests and handle complex bookings and specialized program requests.
  • Build relationships and communicate effectively with colleagues to navigate program options and share information between customers and staff.
  • Conduct internal operations such as processing expenses, invoicing, coordinating events, and scheduling programs.
  • Prioritize critical tasks across multiple programs and adapt approaches as needed to meet deadlines.
  • Maintain confidentiality of sensitive information and customer records.
  • Perform database entry and management as an active super-user of scheduling and ticketing systems.
  • Generate reports on sales, programming, and customer data.
  • Contribute to the marketing of programs by maintaining web content and collaborating with program staff.
  • Support customer-facing staff in building their knowledge of education programs.
  • Conduct administrative tasks as assigned, including event setup and delivery of educational materials.

Requirements

  • Demonstrated customer service skills.
  • Experience working in a highly collaborative environment.
  • Cultural competency and experience working with diverse communities.
  • Experience communicating complex information both over the phone and in writing.
  • Familiarity with database usage and G Suite.
  • Valid driver's license.
