About the position

The Student Accounts Assistant position at Marian University is designed to support the learning experience of students by managing student account receivables operations. This role involves assisting students, families, faculty, and staff with billing and payment processing, ensuring accurate financial transactions, and providing excellent customer service. The assistant will work closely with the Director of Student Accounts and other departments to facilitate a positive financial experience for the university community.

Responsibilities

  • Monitor daily communication via phone, email, and in-person, providing customer service to students, families, staff, and faculty.
  • Work within the Student Information System to maintain accurate student accounts, create invoices, and track special programs.
  • Advise students on the use of 3rd party student payment platforms and troubleshoot issues as needed.
  • Perform general office duties including coordination of departmental mail, copying, scanning, and filing.
  • Represent the Office of Business & Finance during campus events as needed.
  • Maintain proper handling and recording of all incoming payments, including issuance of receipts and daily reconciliation.
  • Prepare and coordinate daily bank deposit transactions, including remote and in-person deposits.
  • Track and reconcile Petty Cash on a monthly basis.
  • Perform other work-related duties as assigned.

Requirements

  • Associates Degree with 3-5 years of prior administrative office or equivalent experience.
  • Proficient in Microsoft Office, particularly Word and Excel.
  • Experience in cash handling and management.
  • Knowledge of modern office practices and procedures, as well as office equipment and machines.
  • Strong oral and written communication and interpersonal skills.
  • Exceptional organizational and time management skills.
  • High regard for confidentiality and ethical comportment.
  • Accuracy with numbers and data.

Nice-to-haves

  • Experience with student information systems or financial software.
  • Familiarity with university financial processes and policies.
