About the position

Georgia Gwinnett College (GGC) is seeking a dedicated and detail-oriented Purchasing Student Assistant to join our Purchasing Department. This part-time position is designed for students who are currently enrolled at GGC and are looking to gain valuable experience in a professional environment. The Purchasing Student Assistant will report directly to the Director of Purchasing and will play a crucial role in supporting the functions related to PCards and purchasing processes within the college. In this role, the Purchasing Student Assistant will be responsible for organizing and prioritizing emails and inquiries from the campus community regarding PCards. This includes maintaining both physical and digital documents for record-keeping purposes, as well as conducting monthly, quarterly, and annual reviews to ensure compliance and readiness for audits. The assistant will also review monthly statements from PCard holders to verify that transactions are appropriate and that all necessary receipts are included. Follow-up communication with PCard holders will be necessary to address any discrepancies or questions that may arise. Additionally, the assistant may be assigned other administrative duties as needed to support the Purchasing Department's operations. Responsibilities

  • Assist with organizing and prioritizing emails and questions from campus community related to PCards.
  • Maintain documents (physical and paperless) for record keeping; monthly/quarterly/annual reviews and for auditing purposes.
  • Review monthly statements of PCard holders to ensure transactions are appropriate and receipts are enclosed.
  • Follow up as necessary with the PCard holders.
  • Perform other administrative duties as assigned.

Requirements

  • Must be enrolled in a minimum of 6 credit hours at Georgia Gwinnett College.
  • Must be in good academic standing and maintain good academic standing for the duration of employment.
  • Must be in good conduct standing with the Office of Student Integrity and maintain good conduct for the duration of employment.
  • Professional demeanor with excellent customer service skills.
  • Strong oral, written, and communication skills.

Nice-to-haves

  • Business major or interest in Purchasing.
  • Ability to work with minimal supervision.
  • Efficient computer skills with use of Microsoft Word and Excel.
