About the position

The Student Education Coordinator position at the University of Arkansas for Medical Sciences (UAMS) is a vital role that supports the education of health professions students. This position is based in Texarkana and involves close collaboration with directors, coordinators, and administration both on the main campus and with Regional Programs throughout Arkansas. The coordinator will be responsible for organizing rotations, orientation activities, housing, and other essential elements that contribute to a positive and productive learning environment for students. In this role, the Student Education Coordinator will serve as the primary contact for medical, pharmacy, physician assistant, and other health professions students. The coordinator will ensure that students feel welcomed, informed, and supported during their rotations. This includes collecting and analyzing data related to student enrollment and satisfaction, overseeing course rosters for various specialty rotations, and conducting onsite orientations. The coordinator will also be responsible for composing daily rotation schedules and supervising students to ensure attendance at required clinics and didactic sessions. Additionally, the coordinator will assist Central Student Coordinators with monitoring preceptor evaluations, maintaining the REP Medical Student Education website, and promoting various MSE programs and recruitment events. The role also includes overseeing student housing, coordinating schedules, addressing housing issues, and ensuring compliance with institutional policies and procedures related to student affairs. Administrative support duties will involve data entry, scheduling, travel coordination, and collaboration with faculty and residency coordinators.

Responsibilities

  • Coordinate and organize student schedules, evaluations, housing, events, and activities in collaboration with Regional Programs administration and site directors.
  • Serve as the main contact for medical, pharmacy, physician assistant, and other health professions students during their rotation.
  • Collect and analyze data related to student enrollment and satisfaction to identify trends and areas for improvement.
  • Oversee the course roster for various medical, pharmacy, physician assistant, and other student specialty rotations.
  • Conduct onsite orientation for rotations at the respective REP site.
  • Compose daily rotation schedules and supervise students to ensure attendance at required clinics and didactic sessions.
  • Assist Central Student Coordinators with monitoring and obtaining preceptor evaluations.
  • Assist with the annual site selection process for medical student rotations and promote the respective REP site.
  • Maintain the REP Medical Student Education (MSE) website.
  • Attend monthly REP student coordinator meetings and promote various MSE programs and recruitment events.
  • Oversee student housing for medical, pharmacy, and physician assistant students, including coordinating schedules and conducting check-in/check-out procedures.
  • Address housing issues and concerns, escalating to the Central Student Coordinator or REP Administrative Director as necessary.
  • Enter data for student rotations in the REP IT Savvy Database upon completion of each rotation.
  • Provide administrative support to assigned REP faculty, including scheduling, travel coordination, and minute taking.
  • Collaborate with the REP residency coordinator to plan for medical student interaction with residents.

Requirements

  • High School diploma or equivalent certificate of study plus four (4) years of experience coordinating education programs or experience in student coordination or administrative support.
  • Bachelor's degree in business, education, computing or related field of study plus three (3) years of experience coordinating education programs or experience in student coordination or administrative support is preferred.
  • Prior experience with medical student education is preferred.
  • Proficient with Microsoft Office software including Outlook, Word, and Excel.
  • Effective communication skills and ability to communicate accurate and complete information.
  • Ability to maintain strict confidentiality when necessary.
  • Ability to demonstrate positive working relationships.
  • Ability to prepare oral and written technical information and reports.
