About the position

The Student Housing Property Manager at The Quad Apartments is a part-time position responsible for overseeing the management of a student housing property consisting of 112 units located in Corvallis, Oregon. This role requires a commitment to maintaining high occupancy rates, ensuring compliance with housing regulations, and providing excellent customer service to residents. The Property Manager will work closely with the Portfolio Manager and will be expected to manage various administrative, operational, and resident experience tasks. The position involves a mix of office work and property inspections, requiring the ability to navigate both environments effectively. In this role, the Property Manager will be responsible for advertising and promoting the property, conducting tours for prospective residents, and managing the full cycle lease process. They will also ensure compliance with renter's insurance and maintain a resident occupancy rate of 95%. The Property Manager will oversee the timely collection of rent, manage delinquency processes, and handle vendor invoices. Additionally, they will assist in preparing the annual budget and monitor expenditures to ensure compliance with the operating budget. The Property Manager will play a key role in enhancing the resident experience by engaging with tenants, resolving issues, and facilitating resident events. They will also guide the performance of administrative and maintenance staff, providing training and coaching to ensure property goals are met. Regular staff meetings will be conducted to maintain clear communication and performance standards. This position is ideal for someone with a strong background in multi-family property management, particularly in student housing, and who possesses excellent leadership and customer service skills.

Responsibilities

  • Comply with all Fair Housing and Equal Housing Opportunities requirements
  • Ensure timely and accurate submission of payroll and commissions
  • Complete weekly, monthly, quarterly, and year-end reports as required
  • Consult with legal counsel and attend court hearings as needed
  • Advertise and promote the property
  • Utilize industry-specific software for lead management
  • Provide tours to prospective and current residents
  • Complete full cycle lease process with prospective residents
  • Ensure compliance with renter's insurance
  • Review rental rates and concessions with Portfolio Manager
  • Maintain resident occupancy of 95%
  • Ensure timely collection of rent and other ancillary revenue
  • Manage delinquency process
  • Manage petty cash account
  • Manage and process vendor invoices
  • Generate renewal offer letters and manage renewal leases after review with Portfolio Manager
  • Monitor expenditures to keep in compliance with operating budget
  • Manage turnover workflow including scheduling and management of vendors, conducting pre/post move out inspections, and make ready inspection
  • Assist Portfolio Manager with preparing annual budget
  • Engage with prospective and current tenants using a professional and courteous approach
  • Navigate priority changes to respond to and resolve unforeseen issues or emergencies
  • Reduce tenant turnover by identifying tenant relation issues, mediating between parties, and recommending solutions
  • Complete quality assurance calls following up on completed work orders
  • Facilitate resident events
  • Guide performance of all administrative staff through providing clear instruction, training, coaching, and performance management
  • Guide performance of all maintenance staff through providing clear instruction, training, coaching, and performance management
  • Conduct staff meetings on a regular basis

Requirements

  • Authorization to work in the United States
  • High School Diploma or equivalent
  • 2+ years of experience in multi-family property management
  • 1+ years of student housing experience
  • 1+ years of experience in staff supervision
  • Yardi Voyager and CRM experience preferred
  • Proficient in Microsoft Office Applications including Outlook, Word, and Excel
  • Demonstrates teamwork, good hygiene, ethical behavior and integrity, excellent customer service and communication skills, ability to multi-task, resolve conflicts, engage in cost/benefit analytical decision-making, and ambition for continuous professional development
