About The Position

The Student Records Analyst plays a crucial role in ensuring the accuracy, integrity, and compliance of student records and reporting systems across Options For Youth (OFY) schools. This position supports timely data reporting and efficient management of student records under the supervision of the Director of Student Records and Compliance. The ideal candidate will have a strong attention to detail and a collaborative mindset, contributing to operational excellence in supporting school operations.

Requirements

  • Knowledge of student records management, compliance requirements, and education regulations (e.g., FERPA, state attendance laws).
  • Proficiency in student information systems (e.g., Aeries, PowerSchool) and data reporting platforms.
  • Excellent attention to detail and accuracy in managing records and data.
  • Strong analytical skills with the ability to identify and resolve discrepancies.
  • Effective organizational and time-management skills, with the ability to manage multiple tasks and deadlines.
  • Strong communication and interpersonal skills to collaborate with diverse stakeholders.
  • Familiarity with California education reporting systems, including CALPADS and CBEDS, is preferred.
  • Associate's degree or equivalent experience in data management, education administration, or a related field.
  • 2+ years of experience in student records management, data analysis, or related roles within the education sector.

Responsibilities

  • Maintain accurate and secure student records, including enrollment, attendance, transcripts, and grades.
  • Ensure proper handling, storage, and retention of records in compliance with local, state, and federal regulations, including FERPA.
  • Support the transfer and verification of student records between schools, districts, and external agencies.
  • Assist in the preparation and submission of compliance reports, such as CALPADS, CBEDS, and other required state and federal reports.
  • Conduct regular audits of student records to identify and correct discrepancies or errors.
  • Monitor compliance deadlines and support the timely submission of required documentation.
  • Assist in the development and implementation of standardized procedures for records management across all school sites.
  • Provide support in optimizing the use of student information systems (e.g., Aeries, PowerSchool) to enhance data accuracy and operational efficiency.
  • Generate reports and analyze data trends to inform decision-making and compliance improvements.
  • Provide guidance and support to school staff regarding data entry, record-keeping procedures, and compliance requirements.
  • Serve as a resource for questions related to student records and compliance reporting.
  • Collaborate with school sites to address record-keeping issues and ensure consistent practices.
  • Work closely with the Director of Student Records and Compliance to align on department goals and priorities.
  • Collaborate with school leadership, counselors, and administrative staff to support the integrity of student data.
