About the position

The Student Trainee (Office Automation Clerk) position at the Department of Defense is designed for students who are currently enrolled in an accredited college or university. This internship provides a unique opportunity to gain valuable work experience while pursuing a degree. The role involves utilizing basic office automation software to create, edit, and print standardized documents, as well as managing incoming mail and directing communications within the office. Interns will be expected to prepare various documents from rough drafts or oral instructions and respond to routine inquiries clearly and specifically. Additionally, the position requires maintaining office records and files, ensuring that all documentation is organized and accessible. As a part-time position, the intern will work approximately 20 hours per week, with a maximum of 40 hours biweekly. This temporary role is not to exceed one year from the date of entry on duty (EOD). Interns will be required to obtain and maintain an appropriate security clearance, which is a standard requirement for positions within the Department of Defense. The internship is part of the Pathways Student Internship Program, which aims to provide students with practical experience that complements their academic studies and prepares them for future careers in federal service. The selected candidate may be considered for noncompetitive conversion to a permanent or term appointment upon successful completion of their degree and meeting all eligibility requirements. Responsibilities

  • Use office automation software to create, copy, edit, and print standardized documents.
  • Prepare a variety of documents from rough drafts and oral instructions.
  • Compose clear responses to routine inquiries.
  • Process incoming mail and route it to appropriate individuals.
  • Open and read undesignated mail to determine proper routing by subject matter.
  • Receive and direct telephone calls or visitors, referring them to appropriate staff or office based on general knowledge of the organization.
  • Prepare and maintain office records and files.

Requirements

  • Must meet suitability requirements for Federal employment.
  • Must be at least 16 years of age.
  • Must be enrolled at least half-time at a qualifying accredited institution.
  • Must sign a Participant Agreement.
  • U.S. citizen or national (resident of American Samoa or Swains Island).
  • Must be eligible to work under U.S. immigration laws.
  • Must be registered for Selective Service.
  • Must be a student currently enrolled in an accredited college or university.
  • Accepted for enrollment or enrolled in an approved program.
  • Pursuing a Baccalaureate Degree (Junior/Senior only), Graduate or Professional Degree.
  • Enrollment must be at least half-time course load as defined by the education institution.
  • Have a good academic standing (no less than 2.95 cumulative GPA on a 4.0 grading scale).
  • Must possess typing skills of at least 40 words per minute.
