About the position

The Study Abroad Coordinator at Rollins College plays a pivotal role in promoting global learning through the development and management of immersive study abroad programs. This position is responsible for overseeing a diverse portfolio of programs, including over 15 short-term programs and 4-6 approved semester programs, which collectively engage more than 240 students annually. The coordinator will work closely with program leaders and partners to ensure that all aspects of the programs are well-planned and executed, providing students with enriching international experiences that enhance their academic and personal growth. Key responsibilities include supporting program planning and publicity, maintaining accurate program materials and websites, and developing and managing program budgets. The coordinator will also oversee the application and acceptance processes, manage pre-departure arrangements, and lead orientations to prepare students for their experiences abroad. Additionally, the coordinator will provide ongoing support to students and program leaders while they are abroad, addressing any issues that arise and ensuring a successful and inclusive study abroad experience. The role also involves advising students on study abroad opportunities, application processes, and scholarship options, as well as leading the planning and execution of the annual Study Abroad Fair. The coordinator will work to enhance diversity, equity, and inclusion within study abroad programs and supervise two student employees who assist with outreach and engagement initiatives. Participation in professional development opportunities, including attending conferences and conducting international site visits, is also expected.

Responsibilities

  • Support program planning and publicity in cooperation with partners and program leaders.
  • Maintain accurate and updated program websites and other materials.
  • Develop and oversee program budgets.
  • Assist program leaders and work with partners to do targeted publicity.
  • Maintain strong relationships with partners and coordinate with them regularly to support students.
  • Oversee the application, acceptance, and confirmation processes in cooperation with program leaders and the International Programs Director.
  • Manage pre-departure processes including bookings and other arrangements, program materials, planning pre-departure orientations, supporting billing processes, reviewing student voluntary health information, and communicating with students, partners, and program leaders as needed to mitigate risks and support students.
  • Lead pre-departure orientations.
  • Assist students and program leaders while abroad to resolve problems, answer questions, and support crisis management and response.
  • Provide student advising, respond to student questions, and provide support to students to help ensure a successful, accessible, and inclusive study abroad experience.
  • Maintain strong relationships with program partners and program leaders including regular communications, ongoing support, and at least two meetings with program leaders.
  • Provide regular, general study abroad advising for any students interested in study away.
  • Lead the planning and execution of the annual Study Abroad Fair including invitations to partners, event planning, publicity, coordination with facilities, etc.
  • Lead study abroad information sessions, conduct classroom visits, and participate in other events for incoming, current, and returning students.
  • Assist with efforts to increase diversity, equity, and inclusion in study abroad.
  • Supervise two student employees: the Global Engagement Coordinators who provide outreach and engagement and focus on specific projects to enhance the work of the office.
  • Assist with program assessment and student learning initiatives including program reviews for semester programs and assisting with qualitative and quantitative assessments.
  • Support larger projects and initiatives to improve general office operations, improve programs, and enhance student learning.
  • Attend one conference per year, conduct one international site visit per year, and participate with colleagues in other professional development opportunities such as webinars and staff retreats.

Requirements

  • Bachelor's degree.
  • Two years of relevant experience.
  • Experience in higher education or with college students, particularly in the field of education abroad is preferred.
  • Strong computer skills including Microsoft Office products (particularly Word, Excel, and PowerPoint) and email software.
  • Experience with other products like Canva, WuFoo, and content management systems for websites.
  • Excellent communication and writing skills, including the ability to adjust tone and communication style for a variety of constituents including students, faculty, staff, program partners, and parents.
  • Excellent organizational skills, including the ability to meet deadlines and prioritize tasks.
  • Ability to handle detailed, confidential, legal, and personal information as well as situations with a high degree of discretion is required.
  • Initiative, problem-solving skills, and the ability to work independently are critical for this position.
