About the position

The Subcontracts Administrator at Air Liquide is responsible for managing all phases of the project subcontracts development process within the engineering and construction sectors, particularly for the oil and gas industry. This role involves preparing subcontract plans, managing bidder qualifications, executing contracts, and ensuring compliance with company guidelines. The position emphasizes establishing strong relationships with subcontractors, facilitating contract execution, and mitigating risks associated with subcontracting activities.

Responsibilities

  • Manage all phases of engineering and construction subcontracts, including pre-qualification, formation, execution, and close-out.
  • Create and maintain project subcontract plans.
  • Source potential subcontractors and perform bidder's qualification using approved systems.
  • Ensure timely receipt of technical inputs needed for subcontract awards.
  • Create and issue RFQs, enhancing the scope of work and project schedule.
  • Solicit and review RFQ package documents for completeness prior to issue.
  • Receive and analyze proposals, negotiating subcontract terms with project and legal teams.
  • Lead bid clarifications and negotiations following company guidelines.
  • Conduct pre-award and project kick-off meetings for subcontracts.
  • Prepare Subcontract Bid Assessment & Recommendation for award (SBAR) for management review.
  • Ensure all required subcontractor insurance is in place before work begins.
  • Handle formal communications with subcontractors and maintain communication logs.
  • Attend site meetings as required and work closely with the project team to maintain schedule and budget.
  • Review subcontractor reports and issue regular updates to the project team.
  • Manage overall change orders and perform subcontract risk assessments.
  • Monitor and review invoices from subcontractors and obtain necessary lien releases and completion certificates.
  • Contribute to a positive work environment and resolve issues related to subcontract processes.

Requirements

  • Bachelor's degree in Engineering, Law, Business, or related field.
  • Minimum 5 years of professional experience with contracts/subcontracts.
  • Professional experience in engineering/construction subcontracting activities for the oil and gas industry.
  • Strong written and verbal communication skills.
  • Willingness to travel and perform site visits (up to 25%).
  • Demonstrated strong computer skills and knowledge of core business software, including Google Workspace.
  • Skills in administration and time management.
  • Knowledge of report writing, presentation, and plan development.
