About the position

Universal Property & Casualty Insurance Company is seeking a dedicated and detail-oriented Legal Assistant to join its fast-paced Subrogation department. This role is essential in supporting the associate general counsel by performing a variety of administrative, secretarial, and legal duties. The ideal candidate will thrive in a dynamic litigation environment, demonstrating flexibility and the ability to manage multiple projects simultaneously. The Legal Assistant will be responsible for preparing and drafting various legal documents, including pleadings, correspondence, and notices, while ensuring compliance with local court rules and legal terminology. In this position, the Legal Assistant will engage in daily telephone communications with defendants, outside counsel, courts, witnesses, and other related parties. Scheduling hearings, depositions, mediations, inspections, and other court-related activities will be a key responsibility, along with maintaining an organized daily calendar that tracks upcoming court appearances and meetings. Timeliness and accuracy are crucial, as the Legal Assistant will be expected to complete required litigation and administrative tasks promptly and input information into the company's case management system. The successful candidate will possess a strong understanding of legal processes and terminology, along with excellent time management and multitasking skills. Previous experience as a legal assistant is required, and proficiency in Microsoft Office is essential. Familiarity with the TimeMatters Case Management System is preferred, as it will enhance the efficiency of document management and case tracking.

Responsibilities

  • Prepare and/or draft various legal documents such as pleadings, correspondence, and notices.
  • Engage in daily telephone contact with defendants, outside counsel, courts, witnesses, and other related parties.
  • Schedule hearings, depositions, mediations, inspections, and other court-related activities.
  • Review, manage, and maintain a daily calendar regarding upcoming court appearances, depositions, meetings, and other court-related activities.
  • Timely complete required litigation and administrative tasks.
  • Input and maintain documents and information into the Company's case management system accurately and in a timely manner.

Requirements

  • Previous experience as a legal assistant required.
  • Highly proficient in Microsoft Office.
  • Understanding of legal terminology and local court/jurisdiction rules.
  • Ability to prioritize and identify urgency as well as manage time and multitask effectively.

Nice-to-haves

  • Experience with TimeMatters Case Management System preferred.
