About the position

The Office of Sponsored Research Services at Washington University in St. Louis plays a crucial role in supporting and managing risks associated with the University's research activities. The SUBS Grant Analyst (GA) is responsible for ensuring compliance with both internal University policies and external agency regulations related to research administration. This position involves a wide range of contracting responsibilities that are applicable across the University, including the preparation, negotiation, and administration of outgoing subagreements for sponsored research activities. The SUBS GA will work under the supervision of the Manager and will be tasked with reviewing, processing, and negotiating subawards within the SUBSystem for both the Danforth Campus and the School of Medicine. In this role, the SUBS GA will maintain a comprehensive understanding of the regulatory and legal frameworks that govern sponsored research agreements. This includes providing detailed reviews of required items in the SUBSystem, offering expert guidance, and enforcing compliance with university, school, and external agency policies. The analyst will analyze sponsored research awards from external funding agencies to ensure that all necessary flow-down terms and active assurances are included in outgoing subaward agreements. Additionally, the SUBS GA will manage their workload effectively, ensuring timely submission of all subawards for approval and maintaining the SUBS template portfolio of attachments and internal process documents. The position also requires the analyst to exercise sound judgment regarding financial information, enabling them to create and approve supplier contracts and amendments in the university's financial system (Workday). The SUBS GA will provide expert advice and training to university research administrators and faculty, manage FFATA reporting, and prepare weekly status reports to facilitate workload prioritization. The role may also involve assisting the Manager with special projects and other assigned tasks, making it a dynamic and integral part of the research administration team.

Responsibilities

  • Prepares, reviews, and negotiates outgoing subagreements.
  • Maintains up-to-date knowledge of regulatory and legal frameworks affecting sponsored research agreements.
  • Provides detail-oriented review of SUBSystem required items while enforcing compliance with policies.
  • Analyzes sponsored research awards for required flow down terms and active assurances.
  • Manages workload using status transparency for prioritization.
  • Ensures accurate and timely submission of all subawards to OSRS Signing Official for approval.
  • Administers and manages the SUBS template portfolio of attachments and internal process documents.
  • Exercises sound judgment regarding financial information to create and approve supplier contracts in Workday.
  • Provides expert advice and training to university research administrators and faculty.
  • Manages FFATA reporting using SUBSystem FFATA reports and fsrs.gov.
  • Prepares weekly status report of SUBS teamwork load for prioritization and follow-up.
  • Assists Manager with special projects and performs other tasks as assigned.

Requirements

  • Bachelor's degree plus one year experience in research administration or a related field (e.g. accounting, contracts), or an equivalent combination of education, training, and experience.
  • Experience with sponsored research administration in a large university environment.
  • Experience with accounting principles and federal and non-federal pre and post-award policies.
  • Strong organizational skills and ability to set priorities.
  • Capacity to develop and maintain good professional relations with personnel at the university and collaborating institutions.
  • Strong orientation toward customer service and diplomacy.
  • Critical thinking and analysis skills.
  • Negotiation skills.
  • Hands-on proficiency with Microsoft Suite (e.g. Outlook, Word, Excel).
  • Detail-oriented with effective oral and written communication skills.

  • Knowledge of university's organization, policies/procedures.
  • Knowledge of the Federal Acquisition Regulations (FAR) and Uniform Guidance (UG).
