About the position

The Administrative Secretary position at the Passaic Board of Education involves a variety of tasks that require a thorough knowledge of the rules and regulations of the schools and school system. The role is essential in maintaining an efficient and well-organized data collection and filing system, greeting visitors, answering telephone calls, and ensuring effective communication. The secretary will assist administrators in preparing reports and documents, manage correspondence, register new students, maintain financial records, and support other staff as needed. The position requires a commitment to ethical behavior, confidentiality, and adherence to educational laws and policies.

Responsibilities

  • Establish and promote high standards and expectations for excellent performance.
  • Perform tasks of varied nature that may be unique to the assigned office or school.
  • Maintain an efficient and well-organized data collection and filing systems.
  • Greet visitors and answer telephone calls in a pleasant and efficient manner.
  • Ensure that all communications from the office meet proper written and oral English standards.
  • Assist the administrator in the preparation of reports and documents.
  • Distribute mail and handle correspondence of the office.
  • Register new students and maintain confidential student records.
  • Type, reproduce and distribute notices as requested.
  • Arrange meeting details, prepare agendas and materials.
  • Maintain financial records for the accounts and budgets assigned to the office.
  • Maintain attendance data for each staff member.
  • Make announcements and operate the intercom systems.
  • Obtain and maintain copies of all necessary documents.
  • Create forms, compile and organize data and information.
  • Order and maintain office supplies and provide for the maintenance and repair of equipment.
  • Work cooperatively with the staff in other offices.
  • Assist other secretarial staff as needed.
  • Participate in staff meetings and serve on staff committees.
  • Continue to grow professionally through collaboration and professional growth experiences.
  • Protect confidentiality of records and information.
  • Display ethical and professional behavior.
  • Adhere to New Jersey school law and Board of Education policies.
  • Perform all other duties as required by law or Board policy.

Requirements

  • At least a high school diploma or equivalent.
  • Demonstrate good keyboarding skills, general bookkeeping skills, organizational and filing skills.
  • Ability to use computers and other electronic equipment for word processing, data management, and telecommunications.
  • Knowledge of modern office practices, procedures, and equipment.
  • Excellent communication, collaboration, organization, and outreach skills.
  • Required criminal history background check and proof of U.S. citizenship or legal registered alien status.
