The Substitute Secretary will also sort and distribute mail, work as a team member with other school and office staff, and file information and confidential materials in student and staff files. Additionally, the role may involve assisting with the registration of new students, accurately entering computer data, and providing support for sick or injured children, as well as assisting with attendance when applicable. Other duties may be assigned as necessary, reflecting the dynamic nature of the position.

Responsibilities

  • Answer the main phone line, take messages, and transfer calls to the appropriate extension.
  • Collaborate with school secretary in the maintenance of office/building supplies (inventory, ordering, etc.).
  • Sort and distribute mail.
  • Work as a team member with other school and office staff.
  • File information and confidential material in student/staff files.
  • Assist with the registration of new students (if applicable).
  • Accurately enter computer data.
  • Assist with sick or injured children.
  • Assist with attendance (if applicable).
  • Other duties as assigned.

Requirements

  • High School diploma or equivalent required.
  • Previous secretarial experience in a school setting (preferred).
  • Extensive knowledge of office equipment (fax, intercom, phone, and copier).
  • Accurate typing/keyboarding skills.
