About the position

The Supervisor of Clerical Services for Region 2 at PG&E is responsible for overseeing groups that provide essential administrative and project support within the organization. This role is pivotal in ensuring that support teams enhance service levels for both external and internal clients. The supervisor will collaborate closely with Gas Operations leaders to assess their current and future support service needs, ensuring that the tools, processes, and systems related to Support Services are continuously evolving and improving for maximum efficiency and effectiveness. The position is hybrid, allowing for work from a remote office as well as the assigned work location based on business needs. In this role, the supervisor will manage the day-to-day operations and staff management of support teams, ensuring alignment with organizational goals and objectives. The supervisor will create and promote a safety-first work environment and culture, which is essential for maintaining high standards of operational safety and efficiency. The position requires the ability to organize multiple assignments, often of a complex nature, to produce accurate and timely work products. The supervisor will lead team efforts to meet deadlines and implement effective solutions to challenges that arise. Additionally, the supervisor will be responsible for staffing, training coordination for new and relief staff, and tracking apprentice programs and classification-specific training. Building strong working relationships with internal and external customers and business partners is crucial, as is the ability to prepare and distribute monthly and quarterly department reports while ensuring the security of confidential documents. The supervisor will also monitor department budgets and expenses, ensuring that performance metrics and indicators are communicated effectively. This role includes supervising a team of primarily nonexempt administrative and clerical employees, driving performance through effective recruitment, training, performance management, and recognition.

Responsibilities

  • Creates, promotes and manages a safety-first work environment and culture.
  • Supervises the day-to-day operations of the workgroup in alignment with organizational goals and objectives.
  • Organizes multiple assignments, sometimes of a complex nature or involving competing priorities, to produce work products that are accurate, thorough, and on time.
  • Effectively leads team efforts to meet deadlines and implement solutions.
  • Assures proper office staffing, coordinates training of new/relief staff, tracks apprentice programs and classification specific training.
  • Works collaboratively with team members to identify, assess, and provide feedback to improve work processes and ensure compliance with company policies and standards.
  • Assists in coordinating and implementing new tools, office procedures and/or work practices to improve productivity and efficiency.
  • Develops strong working relationships with internal/external customers and business partners.
  • Prepares and distributes monthly and quarterly Department reports, ensuring proper preparation, distribution and security of confidential reports and documents.
  • Monitors department budgets, expenses and variances for assigned location.
  • Collaborates with department peers to ensure work priorities are appropriately assigned and support functions meet expectations and business needs.
  • Supervises a team of primarily nonexempt administrative/clerical employees.
  • Drives performance and accomplish results through effective recruitment, training, performance management, and recognition.

Requirements

  • High School or GED Diploma
  • 5 years of administrative experience or related experience
  • 2 years of leadership experience
  • Supervisory experience leading nonexempt administrative/clerical employees
