About The Position

The Supervisory Medical Support Assistant (SMSA) position at the Michael E. DeBakey VA Medical Center is a key role within the Health Administration Service, located in Tomball, Texas. The SMSA serves as the direct line supervisor for the Lead Medical Support Assistants and all Medical Support Assistant staff, ensuring effective patient services and administrative operations within outpatient clinics. This position involves planning, directing, and evaluating the work of subordinate staff, resolving complex issues, and ensuring compliance with VA regulations and policies.

Requirements

  • U.S. Citizenship is required.
  • Six months of experience in clerical, office, customer service, or administrative work, or one year above high school education, or a combination of both.
  • Proficiency in written and spoken English is mandatory.
  • One year of experience equivalent to the GS-07 grade level leading or supervising Medical Support Assistants or equivalent administrative patient support staff.

Nice To Haves

  • Experience in a healthcare setting is preferred.
  • Knowledge of VA regulations and policies is beneficial.

Responsibilities

  • Supervise and evaluate the work of subordinate Medical Support Assistants and team leaders.
  • Plan and direct programs for medical centers and outpatient clinics.
  • Resolve complex problems to ensure patient services are met.
  • Evaluate new products, equipment, and systems for operational improvements.
  • Assist with clinic access contingency plans and adjust appointment schedules as needed.
  • Ensure integration of health and administrative information into the Computerized Patient Record System (CPRS).
  • Participate in daily team huddles and weekly meetings for patient care planning.
  • Extract and analyze data to provide reports supporting performance measures to senior management.
  • Provide information about the VA Medical Care Cost Recovery Program to patients.
  • Manage appointment scheduling and administrative information between staff and patients.
