About the position

The Supervisory Medical Support Assistant (MSA) at the Northern Arizona VA Healthcare System is responsible for overseeing the scheduling and administrative functions of the medical support team. This role involves direct supervision of Lead MSAs, Advanced MSAs, and MSAs, ensuring efficient appointment scheduling and patient care coordination. The Supervisory MSA is expected to manage staff training, monitor performance, and collaborate with clinical staff to enhance service delivery.

Responsibilities

  • Train staff on VHA Scheduling Directives and ensure accurate scheduling responsibilities.
  • Screen and receive phone calls, determining the nature of requests and providing information while adhering to privacy rules.
  • Schedule appointments accurately and in a timely manner, involving patient input.
  • Notify the supervisor of any issues with clinic access or scheduling within mandated time frames.
  • Exercise supervisory authority over work assignments and personnel management functions for the staff supervised.
  • Review active/pending consults and Audio CARE communications for accuracy and disposition.
  • Independently manage position responsibilities with minimal supervision, setting priorities and deadlines.
  • Coordinate schedules and assignments with RN Managers and adjust as needed.
  • Serve on Medical Center committees and prepare various reports in the area of expertise.
  • Ensure all supervised staff receive required annual training and manage competencies.

Requirements

  • U.S. Citizenship is required.
  • Proficiency in written and spoken English.
  • Six months of experience in clerical, office, customer service, or administrative work, or one year above high school, or a combination of experience and education.
  • One year of experience equivalent to the GS-7 grade level, demonstrating administrative and supervisory duties in a patient support setting.
