About the position

The Supervisory Medical Support Assistant (MSA) at the Tennessee Valley VA Health Care System is responsible for planning and directing programs within medical centers and outpatient clinics. This role includes full supervisory responsibilities over a team of MSAs or equivalent administrative support staff, ensuring efficient workflow and high-quality patient care. The position requires maintaining updated information on clinic operations, scheduling appointments, and providing guidance to staff regarding policies and procedures.

Responsibilities

  • Maintain updated information on clerical call data, clinic availability, cancellations, and patient complaints.
  • Schedule and oversee all appointments in the Business Office, interpreting and verifying provider orders according to VHA national scheduling guidelines.
  • Monitor and assign work to subordinate staff, providing input on job performance and resolving daily workplace issues.
  • Conduct ongoing reviews of job performance to ensure quality of work and timely scheduling of appointments.
  • Provide guidance and training to staff members on changes in policies and procedures, and ensure training requirements are met.
  • Ensure all areas have needed coverage and maintain effective communication with Veterans and co-workers.

Requirements

  • U.S. Citizenship is required.
  • Proficiency in written and spoken English is mandatory.
  • Six months of experience in clerical, office, customer service, or administrative work, or one year above high school education.
  • One year of experience equivalent to the GS-07 grade level leading or supervising MSAs or equivalent administrative support staff.
