About the position

The Supervisory Medical Support Assistant (SMSA) position at the Michael E. DeBakey VA Medical Center is a key role within the Health Administration Service, located in Humble, Texas. The SMSA serves as the direct line supervisor for Advanced Medical Support Assistants (AMSA) and Medical Support Assistants (MSA), ensuring high-quality patient services and efficient clinic operations. This position involves overseeing staff, resolving complex issues, and maintaining appointment schedules, all while promoting a collaborative care delivery model.

Responsibilities

  • Assign and evaluate the work of subordinate staff.
  • Resolve complex problems to ensure patient services are met.
  • Evaluate new products, equipment, and systems for improved operations.
  • Identify educational or training needs for subordinate staff.
  • Make final decisions on selections for hire and evaluate performance.
  • Extract and analyze data to provide reports in support of performance measures to senior management.
  • Ensure appointment schedules are maintained by MSA staff.
  • Assist MSA staff with clinic access contingency plans.
  • Explain the VA's mandate to collect insurance information to Veterans and their families.
  • Promote veteran registration utilizing MyHealtheVet (MHV).
  • Set the tone for high-quality healthcare services at the VA.
  • Ensure health/administrative information is secured and integrated into the Computerized Patient Record System (CPRS).
  • Receive phone calls courteously and determine the nature of requests.
  • Train staff on VHA Scheduling Directives and scheduling responsibilities.
  • Review active/pending consults and communications for accuracy and disposition.
  • Participate in daily team huddles and weekly team meetings.

Requirements

  • U.S. Citizenship is required.
  • Six months of experience in clerical, office, customer service, or administrative work.
  • Proficiency in written and spoken English is required.
  • Ability to serve a probationary period if required.
  • Subject to background/security investigation.
