Additionally, the role includes participation in various hospital committees as assigned, contributing to the maintenance of the Meditech item master, and supporting special projects related to supply chain and materials management, particularly in Surgical Services areas. Key responsibilities include submitting purchase requests to centralized purchasing, ensuring accuracy in item descriptions, quantities, and vendor information. The specialist acts as an expediter, maintaining follow-up on back orders, stock outs, and delivery issues, and communicating pertinent information to managers and staff. Coordination with vendors for quotations and evaluation of products for quality and cost is also part of the role. The specialist will manage stock and inventory functions, including the receipt of goods and equipment, and will ensure timely processing of returns to vendors. The position requires establishing and maintaining efficient inventory systems under the direction of the Director of Materials Management. This includes utilizing the materials management system to maintain historical data, performing audits for supply expiration dates, and ensuring no expired products are present in the area of responsibility. The specialist will also assist in maintaining the Meditech item master and related CDM capture, processing requisitions for implants, and calculating charges as necessary. Leadership responsibilities include acting as a liaison between various departments and assisting with the implementation of inventory systems for surgical services. Overall, the Supply Chain Materials Specialist is integral to the operational efficiency of the hospital, ensuring that all necessary supplies and equipment are available and managed effectively to support patient care.

Responsibilities

  • Submit purchase request/requisition to centralized purchasing utilizing the materials management system to ensure accuracy in item descriptions and vendor information.
  • Act as expediter, maintaining follow-up on back orders, stock outs, and delivery issues, and communicate pertinent information to appropriate managers and staff.
  • Coordinate with vendors and purchasing to prepare requests for quotations and assist in evaluating products for quality, cost, and delivery.
  • Serve on various committees as directed, providing data analysis as requested.
  • Coordinate all stock and inventory functions, including receipt of goods and handling returns, ensuring discrepancies are reported promptly.
  • Establish and maintain efficient inventory systems in accordance with hospital policies and procedures, including audits for supply expiration dates.
  • Process supply lists to SPD, CSR, and Purchasing on a daily basis, ensuring a continuous flow of supplies is maintained.
  • Assist with maintaining the Meditech item master and related CDM capture, processing requisitions for implants and calculating charges as needed.
  • Act as a liaison between OR, CSR, Purchasing, and Supply Chain staff, assisting with the implementation of inventory systems for surgical services.

Requirements

  • Two to three years of related experience in healthcare purchasing, O.R. inventory control, stores control, and/or materials handling.
  • Two-year college degree, preferably in purchasing, management, or business administration; experience in a healthcare purchasing environment may be considered in lieu of a degree.
  • Knowledge and use of computerized materials management systems.
  • Ability to effectively work as a team member and communicate with others at all levels within the organization.
