About the position

The Supply Coordinator & Operations Assistant plays a crucial role in supporting the daily operations of a Mold Remediation and Construction company. This position requires a highly organized and detail-oriented individual who can assist with various administrative and operational tasks, including supply coordination, project documentation, and communication with vendors. The role involves physical demands, such as lifting supplies weighing up to 100 lbs, and requires effective collaboration with the operations team and project managers to ensure workflow efficiency.

Responsibilities

  • Assist with the planning, scheduling, and coordination of supplies for remediation and construction projects.
  • Maintain project files, track documentation, track costs, and write small monthly reports.
  • Communicate with suppliers, vendors, and subcontractors to ensure timely delivery of materials and services for jobs.
  • Support project managers with preparation of reports, schedules, and other project-related documents.
  • Monitor project timelines and budgets to alert management of potential delays or cost overruns.
  • Handle data entry, invoice processing, and record-keeping for operational expenses.
  • Schedule and coordinate meetings, site visits, and conference calls with team members.
  • Manage inventory of office supplies and construction materials, placing orders as needed.
  • Retrieve supplies from various vendors, loading into vans and unloading into the warehouse, including large fans, concrete bags, sheet rock, wood, metal, and small to medium-sized equipment.
  • Perform general office duties as needed.

Requirements

  • High school diploma or equivalent required; an Associate's or Bachelor's degree in Business, Construction Management, or related field is a plus.
  • Ability to use a computer quickly and proficiently in Word, Excel, and other digital platforms.
  • Previous experience in an administrative or operations support role, preferably in construction or a related industry.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize tasks and work in a fast-paced environment.
  • Basic knowledge of construction processes, terms, and industry standards is desirable.
  • Must have a valid license, clean driving record, and method of transportation to work.
