About the position

Responsibilities

  • Serve as the initial point of contact for customer requests and facilitate coordination.
  • Manage ticket queue for incoming requests, ensuring proper routing to appropriate resolver.
  • Maintain service level agreements regarding response time and ticket completion.
  • Provide administrative support for multiple service lines, creating project files and ensuring proper formatting.
  • Support ordering of workspace products and furniture, coordinating delivery with vendors.
  • Schedule and deploy vendors to ensure timely delivery and completion of request tickets.
  • Use internal tools to understand deployment schedules and notify customers of expected completion dates.
  • Manage customer-facing inboxes, directing inquiries to the appropriate party or responding as needed.
  • Provide timely responses to customer and vendor inquiries, work requests, and concerns.
  • Collaborate with a dispersed team and stakeholders to ensure excellent customer service.
  • Coordinate with customers and PPM team to provide resources and solutions amidst ambiguity.
  • Utilize Smartsheet to maintain data accuracy and gather missing information.
  • Update systems of record with new information from audits and completed projects.
  • Assume day-to-day responsibility for successful task completion, working independently as needed.
  • Proactively identify tasks requiring attention and prioritize workload appropriately.
  • Assist vendor partners with program initiatives and process updates.
  • Model professionalism and company values.
  • Contribute to team development by providing job training and mentorship to new employees.
  • Assist with new tasks, processes, or projects to support evolving team requirements.

Requirements

  • High School Diploma or GED required; Associate or Bachelor's degree preferred.
  • Minimum 2 years of customer service, real estate/facilities, or administrative support experience.
  • Advanced knowledge of Microsoft Windows, Excel, Adobe, and Outlook email.
  • Excellent customer service skills and ability to multi-task in a fast-paced environment.
  • Strong written and verbal communication skills with all levels of management and stakeholders.
  • Strong attention to detail and focus on execution.
  • Ability to manage complexity and distill information effectively.
  • Project management skills to lead multiple high-profile projects simultaneously.
  • Ability to work independently and in teams based on project assignments.
  • Understanding and adherence to Northwest Center and Amazon policies and procedures.
  • Flexibility to work in a fast-moving environment.
  • Strong conflict resolution and problem-solving skills.

  • Experience in a creative team environment.
