About the position

The position is within the WIC/Maternal Health department, primarily located in Remsen, with travel required across a 10-county area. The role is hourly and eligible for benefits, with work hours ranging from 32 to 40 hours per week, subject to change based on clinic schedules and financial requirements.

Responsibilities

  • Providing clinic and office support to WIC and Maternal Health staff.
  • Providing excellent customer service.
  • Implementing state and local agency policies and procedures.
  • Assisting in clinic set-up/tear down (including computers & printers) and loading and unloading of van.
  • Reminding participants of appointments via phone calls and text messages.
  • Interviewing participants to complete intake information and verifying participant residence, identification, and income.
  • Documenting physical presence of participants.
  • Ensuring voter registration activities are completed as required by WIC policy.
  • Assisting participants in filling out necessary forms.
  • Initiating and directing clinic flow.
  • Scheduling participant certifications, nutrition education, Maternal Health and follow-up appointments and providing appointment notices to participants.
  • Answering participant questions accurately or referring to appropriate clinic staff.
  • Reminding participants to bring proof of income, residency, identity and immunization records to appointments.
  • Maintaining/cleaning data system equipment.
  • Entering information into WIC/MH electronic data systems.
  • Explaining the use of WIC food benefits and Farmers Market checks to participants.
  • Completing Farmers Market reports and following Farmers Market check distribution and destruction procedures.
  • Explaining appointment procedures to participants, including use of proxy.
  • Issuing WIC food instruments and benefits to certified participants.
  • Providing follow-up to participants who didn't keep their scheduled appointments or who have been terminated.
  • Assuring the security of WIC EBT cards.
  • Completing appropriate forms for clinic visits and assuring appropriate signatures, titles and dates are included.
  • Filing Maternal Health charts/forms and following record retention policies.
  • Printing reports in Focus and processing WIC Termination notices according to policy.
  • Assisting with referring families as appropriate.
  • Participating in training and actively promotes and supports breastfeeding efforts.
  • Typing and filing any program correspondence or reports.
  • Offering suggestions for changes in program procedures.
  • Processing daily mail for department (including bulk mailings).
  • Driving agency vehicle to and from scheduled clinics as requested.
  • Participating in outreach activities as requested.
  • Completing order forms/purchase orders for stocking and ordering of office supplies and forms.
  • Setting up traveling WIC laptops each week for CSI to complete updates.
  • Reporting equipment and data system issues to the WIC HelpDesk.
  • Communicating with Promise Community Health Center staff regarding Medicaid Presumptive Eligibility applications.
  • Completing Medicaid Presumptive Eligibility applications with eligible participants.
  • Processing Medicaid Presumptive Eligibility applications in the Iowa Medicaid data system.
  • Notifying clients regarding their Medicaid Presumptive Eligibility Notice of Decision, covered services, and follow-up steps.
  • Verifying Medicaid eligibility and addresses for WIC participants in the Iowa Medicaid Portal Application (IMPA) system.
  • Attending staff meetings and typing staff meeting minutes.
  • Participating in quality assurance/improvement activities.
  • Assisting with the scheduling of interpreters for WIC/MH clinics.
  • Utilizing the telephonic interpreter line when needed.

Requirements

  • Associates degree in office management or similar field preferred.
  • Bilingual in English/Spanish preferred.
