About the position

The position supports the Chief Pilot Office at United Airlines by performing various operational and administrative tasks. This role is essential in maintaining compliance, assisting pilots with inquiries, and ensuring operational integrity and reliability within the Flight Operations team. The successful candidate will contribute to a diverse and inclusive workforce while helping to connect people and unite the world safely and efficiently.

Responsibilities

  • Perform a variety of operational and administrative tasks to support the Chief Pilot Office at each pilot base.
  • Answer phones and assist pilots with questions.
  • Maintain base email accounts, faxes, and personal United email accounts.
  • Manage compliance for pilot crew badges.
  • Assist pilots and staff with parking, SIDA badges, and background checks.
  • Update pilot records for First Class Medicals, passports, vaccines, visas, pilot licenses, Line Check, and IOE documents.
  • Maintain records of lost/stolen/loaner iPads and assist pilots with iPad issues.
  • Set up new iPads when needed and maintain supplies for the pilot group.
  • Assist in maintaining operational integrity and reliability.
  • Maintain the entire office supply inventory and order supplies, including pilot uniform accessories.

Requirements

  • High School Diploma or equivalent work experience.
  • Previous administrative work experience.
  • Experience using MS Word, Excel, and Outlook.
  • Excellent time management and ability to prioritize work.
  • Demonstrated ability to handle multiple tasks with minimal supervision.
  • Attention to detail required.
  • Ability to maintain confidentiality.
  • Willingness to work a flexible schedule in a 7-day-a-week operation, including weekends and holidays.
  • Strong written and verbal communication skills.
  • Organized, flexible, and a self-starter.
  • Ability to walk, bend, and lift up to 35 lbs.
  • Legally authorized to work in the United States without sponsorship.

Nice-to-haves

  • 1-2 years of Flight Operations experience.
  • Project management experience.
