About the position

The Surgery Scheduler position at Western Carolina Cardiology involves managing the scheduling of surgical and radiologic procedures, ensuring all necessary documentation is completed, and providing support to patients and healthcare providers. The role requires effective communication, organization, and the ability to handle multiple tasks in a fast-paced environment.

Responsibilities

  • Greets visitors and communicates with patients and providers.
  • Coordinates workflow and compiles records of office activities.
  • Completes all aspects of the check-in/check-out process.
  • Enters and updates patient demographics and insurance information.
  • Collects any copay/coinsurance balances for current visits and any outstanding balances from patients.
  • Completes pre-appointment checklists and prepares accordingly.
  • Places, answers, and directs phone calls and distributes messages, including retrieval and distribution of answering service messages.
  • Keeps the office area neat and tidy.
  • Monitors and maintains a log of needed office supplies.
  • Handles information requests, including reviewing files and records, answering inquiries, and responding to incoming work requests.
  • Monitors and addresses all front office task buckets in a timely manner.
  • Schedules referrals for patients to be seen by other physicians/specialists as ordered, sends all records needed, and notifies patients as needed.
  • Schedules all surgical procedures and radiologic procedures ordered by physicians, completing required documents such as orders, consent, insurance/authorization, coding for procedures and diagnosis codes, and medical charts for the hospital.
  • Sets up pre/post-op appointments and meets with patients to complete all required paperwork.
  • Codes for all surgeries and radiologic procedures, calls patient's insurance company to verify coverage and benefits, checks for prior authorization/precertification requirements prior to any surgery or radiologic procedure, and sends required information with all orders.
  • Arranges peer-to-peer review when necessary.

Requirements

  • High School Diploma or equivalent - Preferred
  • Medical front office experience preferred.
  • Knowledge of medical terminology preferred.
  • Requires critical thinking skills, decisive judgment, and the ability to work with minimal supervision.
  • Must be able to work in a stressful environment and take appropriate action.
