About the position

Optum Colon and Rectal Surgery, part of Optum, is seeking a Surgical Coordinator to join our team in Lake Success, NY. This role is pivotal in ensuring the smooth operation of surgical scheduling and patient coordination. The Surgical Coordinator will be responsible for completing set processes and protocols while working cooperatively with all members of the care team. The ideal candidate will be friendly, patient-focused, and detail-oriented, supporting the vision and mission of the organization by delivering excellent customer service and adhering to Lean processes. This position plays a crucial role in helping the team meet financial, clinical, and service goals. The Surgical Coordinator will manage the scheduling of all in-office procedures and surgical cases in a timely manner, following the directions of the Physician or Surgeon. A thorough understanding of surgical procedures, including the necessary time for surgeries, is essential. The coordinator will check patients' insurance to ensure that the facility is in-network, prepare consent forms, and sit with patients and caregivers to address questions and provide instructions regarding the surgery. Additionally, the role involves contacting insurance companies for prior authorization, scheduling post-operative appointments, and managing communication through mail and phone regarding patient recalls. The work schedule is Monday through Friday, between the hours of 7:30 am to 5:00 pm, totaling 37.5 hours per week, with variations based on the provider's schedule. The Surgical Coordinator must be willing to work in a fast-paced office environment and perform other duties as assigned to support the surgical team effectively.

Responsibilities

  • Scheduling all in-office procedures in a timely manner
  • Ensuring all surgical cases are scheduled in accordance with the Physician or Surgeon's directions
  • Understanding surgical procedures and the necessary time for surgeries
  • Checking patient's insurance to ensure the facility is in-network
  • Preparing consent forms and sitting with patients to go over questions and instructions
  • Contacting the insurance company to obtain prior authorization if required
  • Scheduling patient post-operative appointments
  • Corresponding by mail and phone following the recall work queue
  • Scheduling surgery dates in EMR and filling out facility forms
  • Obtaining medical clearance requests by contacting the patient's primary or specialty provider
  • Scanning the medical clearance received in EMR and sending it to the facility where the patient is scheduled
  • Contacting the patient to confirm surgery and go over pre-operative instructions
  • Performing other duties as assigned

Requirements

  • High School Diploma or GED
  • Intermediate level of computer proficiency, including Microsoft Outlook, Excel, and Word
  • 1+ years of customer service or healthcare-related experience

Nice-to-haves

  • 1+ years of experience working in a medical front office or similar setting
  • Experience working with an electronic health record (EPIC)
  • Knowledge of medical terms
