About the position

The Surgical Scheduling Coordinator reports to the Ambulatory Clinical Manager and/or Practice Manager and performs a variety of surgical scheduling duties with multiple hospital operating rooms medical admissions and pre-admission testing (PAT). In addition to the duties of the surgical coordinator, the Cosmetic Surgical Scheduling Coordinator has specific responsibilities related to cosmetic services, requiring a high level of customer service skills to establish and enhance positive relationships with patients, co-workers, and providers.

Responsibilities

  • Demonstrates competency individually and as part of the team in performing surgical coordinating duties.
  • Coordinates and schedules elective and urgent surgeries for the physician practice according to guidelines established by the hospital(s).
  • Utilizes surgical block time whenever possible and releases assigned blocks when requested by physician.
  • Coordinates surgical assist cases.
  • Responds to questions regarding the physician’s operating (OR) schedule and communicates hospital policies and procedures.
  • Uses designated computer software and forms to schedule all surgical cases.
  • Obtains medical clearance from the appropriate physician.
  • Verifies insurance and collaborates with hospital surgical services and financial counselors.
  • Schedules appointments and testing within established guidelines.
  • Acts as liaison for patients with special needs.
  • Checks office and surgery schedule daily.
  • Monitors physician privileges to ensure that admitting privileges are current.
  • Attends and participates in staff meetings.
  • Maintains quality assurance, safety, environmental, and infection control in accordance with established hospital department policies.
  • Follows up on customer calls for cosmetic services.
  • Educates patients about cosmetic options during phone inquiries.
  • Discusses surgery costs with patients and facilitates surgery dates.
  • Follows up with patients after initial consultation.
  • Maintains an up-to-date price list for all cosmetic and laser procedures.
  • Maintains marketing materials for patient handouts and mailing.
  • Travels to surgical locations for patient/surgeon assistance if needed.

Requirements

  • High school diploma or equivalent required.
  • Associate’s degree preferred in Secretarial Sciences or related field.
  • Proficient personal computer skills.
  • Excellent written and oral communication skills.
  • Effective prioritization and organizational skills.
  • Knowledge of medical terminology.
  • Demonstrates knowledge and skills necessary to provide care to patients throughout the life span.

Nice-to-haves

  • Minimum of 3 years experience as a surgical scheduler in a physician’s office.
  • Familiarity with medical office procedures, terminology, and surgical scheduling preferred.
  • Experience in a healthcare environment such as acute care hospitals or physician offices.
