About the position

The Surgical Scheduling Coordinator at Hackensack Meridian Health plays a crucial role in managing the scheduling of surgical procedures in the Main Operating Room. This position involves coordinating with surgeons, patients, and various departments to ensure efficient scheduling and communication, ultimately contributing to the overall success of surgical operations.

Responsibilities

  • Schedules procedures based on surgeons' active privileges and monitors daily for changes.
  • Selects patients from the MPI in Epic to schedule procedures based on established protocols in collaboration with the surgeon's office.
  • Schedules PAT appointments according to the surgery.
  • Provides and updates the surgeon's office with detailed information regarding the patient's status for surgery.
  • Responsible for documentation in the EMR of all special requests from the surgical office required for the procedure.
  • Notifies and documents other departments and/or companies to arrange for specific services required for the procedure.
  • Obtains pertinent background and medical history appropriate for the procedure to be scheduled.
  • Communicates Surgeon's block schedule and updates/manages block releases.
  • Makes recommendations to team lead regarding schedule and block changes to increase scheduling efficiencies.
  • Prepares daily OR schedule and confirms all cases for final schedule publication.
  • Collaborates with OR leadership regarding surgeon requests.
  • Continuously reviews and adjusts OR schedule daily to ensure maximum utilization.
  • Performs the Fax Manager functions according to the procedure.
  • Assigned to the OR Charge Desk as scheduled or required with specific tasks to support daily operations of the Operating Room.
  • Acts as a liaison between OR clinical staff, surgeons, and ancillary departments.
  • Performs environmental rounds to ensure a safe and risk-free environment with follow-up on identified issues to completion.
  • Attends department-specific staff training and meetings to keep abreast of changes in the department and medical center.

Requirements

  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs is required.
  • Two (2) years in hospital registration and/or scheduling with experience in a medical setting is required.
  • Excellent communication and customer service skills required.
  • Strong computer skills including proficiency with Microsoft Office or Google Software is required.

Nice-to-haves

  • Associates Degree or higher is preferred.
  • Knowledge of medical terminology is preferred.
  • Familiarity with Epic OpTime preferred.
  • Typing (35 wpm is preferred).
