About the position

As the System Administrator for Campus Events at Auburn University, you will play a pivotal role in managing and optimizing the event management infrastructure. Reporting directly to the Associate Director of Risk Management Special Projects, your primary mission will be to streamline systems that facilitate seamless event coordination while ensuring compliance with safety protocols. This position is essential in creating memorable experiences for the campus community while maintaining a focus on risk mitigation and safety. In this role, you will serve as a trusted advisor to event organizers, providing practical insights and guidance to ensure that all events align with established safety protocols. You will collaborate with various university departments to identify and manage potential risks associated with campus events, which may include logistics, crowd management, and emergency preparedness. Your responsibilities will also include overseeing the event registration process, acting as the primary point of contact for approvals and requirements, and developing training resources to equip event organizers with the necessary knowledge on system use and compliance. Your expertise in event management software and risk assessment will be crucial in providing comprehensive evaluations and hazard assessments for campus events.

Responsibilities

  • Oversee the Auburn University Campus Event Planning System or other event management software to track event details, form collection, committee comments, and event approval/denial.
  • Serve as the lead member of the Event Management Working Group, collaborating with subject matter experts to evaluate events from various campus perspectives.
  • Develop and oversee event guidelines and best practices, including pre-event inspections, event safety, vendor management, and insurance requirements.
  • Partner with university departments, student groups, and third parties to provide risk management guidance for planning and executing successful events.
  • Assist event organizers in developing and implementing customized risk solutions and provide guidance on the proper use of campus facilities and equipment.
  • Ensure events support the University's mission and are authorized by appropriate university authorities, acting as the final decision maker regarding event approvals or rejections.
  • Collaborate with campus departments to assist in developing and maintaining emergency plans for natural and man-made disasters.
  • Review agreements and contracts to ensure favorable terms for Auburn University.

Requirements

  • Bachelor's degree in a relevant field.
  • 4 years of experience in event management, systems administration, and/or risk management.
  • Strong planning and organizational skills, problem-solving abilities, and project management experience.
  • Excellent communication skills and the ability to develop and implement training programs.
