About the position

The TA Operations Specialist is an integral member of the Company's HR/Talent Acquisition (TA) department, specializing in managing the configuration and maintenance of the TA iCIMS suite of products. This includes overseeing various functionalities such as Applicant Tracking, Offer Management, Career Sites, CRM, Digital Assistant, Text Engagement, and Video Studio. The role provides access to iCIMS Academy, Knowledge Base, Release Resources, Events, Webinars, and Certifications, ensuring that the specialist is well-equipped to handle the demands of the position. As a Subject Matter Expert for the iCIMS TA suite, the specialist will provide support to the TA Team and the organization regarding the iCIMS products. This involves managing configurations, mapping workflows, and integrating new releases and product updates. The role also includes user management, which encompasses training for new hires and managers, as well as designing and leading training opportunities for users. The specialist will interface with iCIMS Technical Support and be responsible for report writing, automation, and dashboard design, ensuring that the TA team has the necessary tools to operate efficiently. Additional responsibilities include maintaining job templates in iCIMS, liaising with the HR Compensation Specialist to gather data for job templates, and creating video content for the Careers Page. The specialist will also manage the Careers Website Pages and coordinate social media postings, particularly focusing on internal diversity initiatives in collaboration with the Marketing team. Regular audits of employee data and job titles, troubleshooting, and escalation of issues are also part of the role. The position is hybrid, requiring essential functions to be performed in a company-designated office or field location, and it emphasizes compliance with the Company's Code of Business Conduct and Ethics Policy.

Responsibilities

  • Serve as Subject Matter Expert for iCIMS TA suite of products.
  • Provide support for TA Team and organization regarding iCIMS products.
  • Manage configurations, mapping, workflows, and integrations for iCIMS products.
  • Conduct user management including training for new hires and managers.
  • Design and lead user training opportunities.
  • Interface with iCIMS Technical Support for issue resolution.
  • Perform report writing and automation for TA metrics.
  • Design and manage dashboards for tracking TA performance.
  • Create and maintain job templates in iCIMS.
  • Liaise with HR Compensation Specialist to gather data for job templates.
  • Create video content for the Careers Page.
  • Maintain Careers Website Pages and ensure content is up to date.
  • Coordinate social media postings for internal diversity initiatives.
  • Conduct quarterly audits of employee data and job titles.
  • Troubleshoot and escalate issues as necessary.
  • Maintain TA documentation and links, including development of new content.
  • Support recruiting agencies with onboarding and analytics for various TA tools.

Requirements

  • Minimum 3 years of progressively-responsible experience in talent acquisition.
  • Proven experience orchestrating and documenting recruitment processes and workflows.
  • Experience with report writing and dashboard creation.
  • Valid systems administration/systems support experience including ATS/HCM/HRIS, preferably iCIMS.
  • Experience in iCIMS ATS/HCM systems implementation and/or maintenance preferred.
  • Bachelor's degree in IT or HR related field preferred; combination of relevant education and experience considered in lieu of degree.
  • Advanced skills with Microsoft Office Suite (Word, PowerPoint) and Excel; knowledgeable of web-based software.
  • Motivated to deliver a high degree of customer service.
  • Skilled at prioritization of work, multi-tasking, time management, and organizational skills.
  • Capable of handling extremely confidential and sensitive information.
  • Ability to work within a team environment with a collaborative approach and independently with minimal supervision on assignments.
  • Excellent ability to learn and follow HR related compliance regulations.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Proactive, self-motivated, with the ability to manage multiple tasks and prioritize in a fast-paced environment.
