About the position

The TA Operations Specialist is an integral member of the Company's HR/Talent Acquisition (TA) department, specializing in managing the configuration and maintenance of the TA iCIMS suite of products. This includes overseeing various functionalities such as Applicant Tracking, Offer Management, Career Sites, CRM, Digital Assistant, Text Engagement, and Video Studio. The role provides access to iCIMS Academy, Knowledge Base, Release Resources, Events, Webinars, and Certifications, ensuring that the specialist is well-equipped to handle the demands of the position. In this role, the specialist will act as a Subject Matter Expert for the iCIMS TA suite of products, providing essential support to the TA Team and the organization regarding the use and functionality of these products. Responsibilities include managing configurations, mapping workflows, and integrating new releases and product updates. The specialist will also be responsible for user management, which involves training new hires and managers, as well as providing ongoing user support to TA Partners, Hiring Managers, Agencies, Candidates, and Colleagues. The position requires the specialist to interface with iCIMS Technical Support, engage in report writing and automation, and design dashboards and templates. Additional responsibilities include job activation and deactivation, managing new feature functions, conducting quarterly audits of employee data and job titles, troubleshooting issues, and maintaining job templates in iCIMS. The specialist will also liaise with the HR Compensation Specialist to gather data for job templates and create video content for the Careers Page. Furthermore, the role involves maintaining the Careers Website Pages, coordinating social media postings, and supporting various recruiting agencies and tools. The essential functions of this position are to be performed in a Company-designated office or field location, with a hybrid work option available. The specialist must understand and comply with the Company's Code of Business Conduct and Ethics Policy and other industry-specific professional and ethical standards.

Responsibilities

  • Serve as Subject Matter Expert for iCIMS TA suite of products.
  • Provide support for the TA Team and organization regarding iCIMS products.
  • Manage configurations, mapping, workflows, and integrations for iCIMS products.
  • Conduct user management, including training for new hires and managers.
  • Design and lead user training opportunities.
  • Provide user support to TA Partners, Hiring Managers, Agencies, Candidates, and Colleagues.
  • Interface with iCIMS Technical Support for troubleshooting and escalations.
  • Engage in report writing and automation, including dashboard design.
  • Create and manage job templates in iCIMS.
  • Liaise with HR Compensation Specialist to gather data for job templates.
  • Maintain Careers Website Pages and create video content for the Careers Page.
  • Coordinate social media postings and manage the TA SharePoint Site.
  • Conduct quarterly audits of employee data and job titles.
  • Support various recruiting agencies and tools, including Indeed, LinkedIn, and Monster.

Requirements

  • Minimum 3 years of progressively-responsible experience in talent acquisition.
  • Proven experience orchestrating and documenting recruitment processes and workflows.
  • Proven experience with report writing and dashboard creation.
  • Valid systems administration/systems support experience including ATS/HCM/HRIS, iCIMS preferred.
  • Experience in iCIMS ATS/HCM systems implementation and/or maintenance preferred.
  • Bachelor's degree in IT or HR related field preferred; combination of relevant education and experience considered in lieu of degree.
  • Advanced skills with Microsoft Office Suite (Word, PowerPoint) and Excel; knowledgeable of web-based software.
  • Motivated to deliver a high degree of customer service.
  • Skilled at prioritization of work, multi-tasking, time management, and organizational skills.
  • Capable of handling extremely confidential and sensitive information.
  • Ability to work within a team environment with a collaborative approach and independently with minimal supervision on assignments.
  • Excellent ability to learn and follow HR related compliance regulations.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Proactive, self-motivated, with the ability to manage multiple tasks and prioritize in a fast-paced environment.
